When you create a time away from work request for an employee, Dayforce provides you with several settings in a dialog box or slide-out panel. Some of these settings are contained within sections that you can expand. Use these settings to customize the employee’s time away request as needed in Approvals, Centralized Schedules, Multi-Week Calendar, Schedules, or Timesheets.
Before You Begin: If you’re using workflow-enabled time away from work, the time away request screens might differ slightly from the ones described below.
Depending on how your instance of Dayforce is configured, some of these settings and sections might be unavailable.
| Setting | Definition |
|---|---|
| Employee (Approvals only) | The employee that you’re creating the time away request for. |
| Reason |
The time away request’s reason (for example, a vacation request or a personal time request). |
| Start/End | The time away request’s duration. |
| Type of Request |
The request’s time away type, if available. Depending on your Dayforce configuration, some of these request types might be unavailable:
If you select Partial Day, Dayforce adds time fields to the request:
If you select Day Segments, Dayforce adds segment buttons and read-only time fields to the request:
Select the segment of the day that the employee needs off, and the application shows the length of the segment in the time fields. Note: Segment names are unique in your Dayforce instance. In this example, the workday is divided into four segments that each equal two hours. Depending on your system configuration, Dayforce might not show the Type of Request section and instead shows the Hours Per Day field:
This setting is typically available for employees who aren’t scheduled to work specific times. In the Hours Per Day field, specify the number of time away hours required for the request. If the request spans multiple days, specify the number of time away hours required for each day. |
| Advance Pay |
The advance pay settings for employees. Dayforce shows this section only for employees whose time of policy is configured to use advance pay and the minimum thresholds have been met. |
| Shifts |
The Shifts section shows any shifts that the employee is scheduled for during the time away period that you specified. Depending on your Dayforce configuration, this section might not be shown. Dayforce shows this section only if:
|
| Supporting Documents |
Attach files to an employee’s request in the Supporting Documents section. Click Upload Files and select files in your browser’s file explorer. You can also drag and drop files into the file window. See Attach Supporting Documents to Time Away Requests. Dayforce shows this section only for employees whose time off policy is configured with the ability to attach supporting documents to time away requests. |
| Calendars | In the Calendars panel, add the time away to your personal calendar or a shared calendar in Microsoft Outlook. Dayforce shows the Calendars panel only if your instance is configured to support employee time away in Outlook calendars. See Add the Employee’s Time Away Period to Your Outlook Calendar. |
| Balances | In the Balances panel, you can review detailed time away balance information for the selected employee. This panel is split into two tabs: Balance Details and Expiring Transactions. The Balance Details tab lists all of an employee’s balances and shows how much time they have accrued, used, or exceeded for each balance. The Expiring Transactions tab shows balances that are going to expire. |
| Override Hours | In the Override Hours panel, you can override hours in the time away request so that you don’t have to make any manual adjustments to the timesheet. See Override Time Away from Work Hours. |
| Employee Coverage | In the Employee Coverage panel, you can review how many other people are available to work at the location. |
| Employee Comment | In the Employee Comment panel, you can view comments that the employee entered when they submitted the time away request. |
| Manager Comment | In the Manager Coverage panel, you can enter a comment about the time away request. |
