Pooled Positions

With pooled positions, you can assign multiple occupants to one position in your position hierarchy. This feature is useful if your organization has positions where multiple employees do the same job and report to the same manager. For example, you could use a pooled position for multiple cashiers at a store or lifeguards at a recreation center.

You can assign occupants to pooled positions in Organization Designer, HR Import, HR Recruiting Import, and using forms. Using the HR Import is recommended if you need to migrate employees from non-pooled positions to pooled positions. The following forms work with pooled positions:

  • New Hire (Position Management)
  • New Hire with Contract (Position Management)
  • Rehire (Position Management)
  • Rehire with Contract (Position Management)
  • Candidate Hire (Position Management)
  • Internal Candidate Hire
  • Terminate an Employee
  • Position Change

Forms used for hiring employees, such as the New Hire and Rehire forms, show pooled positions in the Position field only if the maximum number of occupants hasn’t been reached. When a position has the maximum number of occupants, it no longer shows in the Position field.

Pooled Position Restrictions

The following restrictions apply for pooled positions:

  • Pooled positions can’t have interim occupancy enabled.
  • Pooled Positions can’t have overfill enabled.
  • Pooled positions can’t have any positions reporting to them directly. Dotted-line relationships are supported.

Pooled Positions in Recruiting

If your organization uses Recruiting, the Number of Openings field in a job requisition for a pooled position shows the number of available spaces. You can’t change the number of openings for a pooled position directly in Recruiting. To change the number of openings, update the occupant limit in Organization Designer > Positions.
