Manage Templates

You can save shifts as templates in Schedules and Centralized Schedules and use them to quickly build your schedule. There are three template types.

Template types
Template Description
Single Individual shift template. Typically, you use them when you need to schedule the same individual shifts in different weeks, but not necessarily in the same pattern. For example, if you need to schedule 9:00 AM to 5:00 PM shifts for the Bakery Clerk job assignment but don’t need to schedule the same number of shifts week to week.
Multiple Multiple shift template. These templates are available only to the user who created them and for the location that they were created for. Typically, you can use them when you need to schedule the same shifts in the same pattern in different weeks. For example, if you need to schedule six 9:00 AM to 5:00 PM shifts and four 5:00 AM to 10:00 AM shifts in the bakery department every Saturday.
Multi-Week (Centralized Schedules only): Multi-week shift template. These templates are available only when you enable the Weekly View.

Save Single-Type Templates

To save a single-type template for an individual shift:

  1. Go to Schedules or Centralized Schedules and load a schedule.
  2. (Centralized Schedules only) Expand the grouping hierarchy at the location level, then expand the Employee section.
  3. Select a cell, click the down arrow, and then click Save as Template.
  4. Enter a template name and description.
  5. In the Template Type drop-down list, ensure that Single is selected.
  6. (Optional) Select the Include Labor Metrics, Include Docket, Include Project, or Include Job checkboxes so that you can apply this template only to employees who can work the selected shift details.
  7. Click OK.

Save Multiple-Type Templates

To save a multiple-type template for multiple shifts:

  1. Do one of the following, depending on the template type that you want to save:
    • Multiple shift template: Press and hold the Ctrl key and select multiple cells in the same week.
    • Multi-week templates (Centralized Schedules only): Press and hold the Ctrl key and select multiple cells in different weeks.
  2. Click the down arrow and then click Save as Template.
  3. Enter a template name and description.
  4. (Optional) To include the selected employees in the shift details, select the Include Employee checkbox.
  5. Click OK.

Apply Templates

To apply templates:

  1. In the schedules grid, select a cell and then click the down arrow.
  2. Click Apply Template and select a template.
  3. Click Save.
