Copy Timesheets Between Employees

To copy a timesheet to other employees:

  1. Go to Manager Timesheet and load the relevant timesheet.
  2. Click Copy > Copy to Employees. If Dayforce is configured to show timesheets by pay period, click the down arrow icon in the weekly information card above the timesheet, and click Copy to Employees.
  3. Select the days that you want to copy.
  4. In the Options drop-down list, select an option to specify which location and job assignment to include in the copied data:
    • Use location and job assignment of copied shifts and pay adjustments: This is the default option. Dayforce uses the location and job assignment of the employee being copied.
    • Use location and job assignment of matching schedules: This option uses the location and job assignment of the employee you’re copying to based on their existing schedule.
    • Use location and job assignment of primary work assignment: This option uses the primary work assignment of the employee you're copying to for the location and job assignment.
  5. Select the employees that you want to copy by moving them from the Available Employees column to the Selected Employees column.
  6. Click Copy.

Note: If you don’t have access to the employee’s primary work assignment location or job assignment, Dayforce returns an error.

You can view the results in the Results of Copy tab:

Results in the Results of Copy tab, showing records of two employees were copied.

You can open the affected employees’ timesheets by clicking the edit icon next to their name, or clear the list by clicking Clear All Results.

When you perform the copy, Dayforce verifies that the source employee and target employees have matching or similar time entry policies. Additionally, only those fields that are enabled for editing in the targeted employee’s time entry policy are copied. If there is a difference that would affect shifts, you can't complete the copy and Dayforce shows messages like the ones in the following example:

Results of Copy tab showing warning or failed messages for copy data.

If either a target or source employee’s time entry policy changes mid-week, Dayforce copies the shifts for the days on which the time entry policies matched. It doesn’t copy the shifts for the days when the time entry policies didn’t match.

If the copied period contains only an employee’s pay adjustments (that is, no shifts) then the copy is successful even if the time entry policies don’t match.
