Configure the Task’s General Properties

To create an ad hoc task and configure its general properties:

  1. Go to Task Management and click Add.
  2. In the Create New Task wizard, click Adhoc Task. The General Properties section of the wizard opens.
  3. Enter a name and description for the new task template.
  4. Configure the following settings, if applicable:

    Setting Description
    Hyperlink (Optional) Enter the hyperlink that you want associated with the task. Hyperlinks can be used to specify accompanying web sites that the users reviewing or scheduling the tasks can access for supplemental information.
    Start Date

    Specify the start date for the task.

    Note: Tasks that impact schedules must be configured so that they’re due on their start date.

    End Date Specify the end date for the task. The end date you specify represents the due date for the task.
    Priority Level Specify a number that represents the relative priority level of the task. This number is for informational and sorting purposes only. The higher the priority of a task, the closer to the top of the Task Checklist the task is shown for the managers responsible for overseeing that the task gets completed.
    Zone(s) In this drop-down list, select the zones the task must be completed in. This helps to define which employees can be scheduled to work on the task, and only employees who work in the specified zones can be scheduled to work on the task.
    Task Group

    In this drop-down list, select an appropriate task group to secure the task.

    With a group selected from the drop-down list, Dayforce secures tasks such that if both the task and a user’s role has a task group assigned, they must have the same task group in order for the user to review and modify the task.

    Task Category In this drop-down list, select the appropriate task category for the task. Task categories are an optional task metric that can be used to further describe or classify the task.
    Labor Impact

    In this drop-down list, select whether the task impacts schedules:

    • Select No Impact to configure a task that doesn’t drive the labor demands of the task’s assigned locations. Tasks configured with no impact to the schedule are tracked and updated through the Task Checklist feature.
    • This configuration is more appropriate for tasks tracked and managed that don’t, typically, represent workloads that impact the assigned location's labor budget.
    • Select Impacts Schedule to create tasks based on this template that drive the labor demands of the task’s assigned locations. Tasks configured to impact schedules require that managers complete a task plan in the Task Planning Calendar feature, and that they then schedule employees to complete the task plan.
    • There is additional configuration required to create task templates that impact schedules. See Configure Task Impact on Schedules in the Dayforce Implementation Guide.
    • If you select Impacts Schedule, Dayforce adds the KPI and Activity settings to the list, where you can specify a KPI and activity for the schedule-impacting task. A task’s KPI, such as Total Hours, is used to track the labor demand it drives.
    • (Optional) Select an activity in the Activity drop-down list. When an activity is selected, Dayforce automatically populates task plans with the activity, and only employees who can work that activity can be scheduled to complete the task.
    Status Select an appropriate starting status for the new task. The status options are: Assigned and Pending.
    XRef Code Enter a reference code used to identify the task. This code must be unique and must not contain special characters.
    Zone can be re-assigned

    Select this checkbox to allow users modifying the task to re-assign it to different zones.

    This checkbox isn’t enabled if the task is configured to impact schedules.

    Task visible to superior

    Select this checkbox to configure the task so that it's visible in Task Management to the task owner’s superior.

    Clear the checkbox and the task is only visible to the task owner. This allows users to create tasks that are only visible to them.

    Visible to location managers

    Select this checkbox to configure the task so that it's visible to the managers of the assigned locations in Task Checklist.

    Clear the checkbox and the task isn’t visible to the assigned locations’ managers.

    Task Phase In this drop-down list, select the appropriate task phase for the task. Task phases are an optional task metric that can be used to further describe or classify the task.
  6. Click Next.
