Configure the Session’s Calendar Period and Vacation Limits

You configure the session’s calendar period and its vacation limits in the Select Calendar Period and Limits screen of the wizard. For more information about the settings in this screen, see Select Calendar Period and Limits.

To select the session’s calendar period and configure its vacation limits:

  1. In the Select Calendar Period and Limits panel, select a calendar period in the Select the dates for the vacation bidding session drop-down list.
  2. Use the Set limits as setting to configure either the minimum number of employees who are required to work on days that are eligible for bidding, or the maximum number of employees who can take vacation on days that are eligible for bidding:
    • Select Employees Required to set a limit on the number of employees who are required to work.
    • Select Employees Allowed Off to set a limit on the maximum number of employees who can simultaneously take time away.
  3. Note: You specify the number of employees who are required to work or allowed to take vacation simultaneously using the Default Day Limit field.
  4. In the Default Day Limit field, enter the minimum number of employees who are required to work, or the maximum number of employees who can simultaneously take time away, depending on your Set limits as selection.
  5. (Optional) In the Maximum Bid Requests field, enter the maximum number of bid requests that employees can submit during the vacation bidding session.
  6. If the session’s vacation bidding group contains subgroups, do one of the following in the Limit field for the subgroups in the Default Sub-Group Day Limit panel:
    •  Specify the minimum number of employees in the subgroup who are required to work.
    •  Specify the maximum number of employees in the subgroup who can simultaneously take time away.
    • Note: The number you specify in this field is assigned the limit type that you selected in the Set limits as section.
  7. (Optional) In the Override Limits section, manually override the default limit for specific days in the eligible period for bidding. You can do this in both the Calendar and Grid Views:
    1. In the Calendar View, click cells in the calendar to manually override the default limit for any eligible day. In the override dialog box, do one of the following, as necessary:
      • Click the All Employees Required checkbox (if available) to remove the default limit and require that all employees in the vacation bidding group be available to work on the selected day (that is, the date is ineligible for vacation).
      • Click the All Employees Allowed Off checkbox (if available) to remove the default limit for the selected day and grant eligibility for all employees in the vacation bidding group to bid for vacation on that day. When you select this option, the day is updated to support the maximum number of eligible vacation slots. The number of available slots is equal to the total number of employees in the vacation bidding group.
      • Enter a new customized limit for the day in the Override Limit field.
      • To copy an override record that you created for another day, click the calendar icon and select a date or enter the date in the text field. Next, click Copy Specific Day.
    2. If the session’s vacation bidding group contains subgroups, you can also manually override the default limit for subgroups on eligible days. In the Sub-Group Limit section, click Add to create a single subgroup limit override record or click Generate to create an override record for each subgroup. Configure the following settings:
      • Leave the Employee Property selection (which is populated by default) in the Sub-Group Type drop-down list.
      • In the Value drop-down list, select the subgroup value with a default limit that you want to override.
      • Depending on availability, select either the All Employees Required checkbox (to require that all employees in the subgroup be available to work on the selected day) or the All Employees Allowed Off checkbox (to grant all employees in the subgroup eligibility to bid on the day for vacation).
      • Alternatively, enter a customized one-day override limit for the subgroup in the Override Limit field.
      • To copy an override record that you created for another day, click the calendar icon and select a date or enter the date in the text field. Next, click Copy Specific Day.
    3. Click OK to implement your changes.
    4. In the Grid View, click Add to create a new override limit. Unlike in the Calendar View, you can configure a range of override dates in the Grid View:
      • Use the Range Start Date and Range End Date fields to configure the range of dates that will be manually overridden.
      • Select the All Employees Required or the All Employees Allowed Off checkbox, depending on availability.
      • Alternatively, enter a customized override limit in the Override Limit field.
    5. If the session’s vacation bidding group contains subgroups, you can also manually override the default limit for subgroups on eligible days. Click the arrow in the first column to open the Sub-Group Limit Overrides panel. Click Add to create a single subgroup limit override record or click Generate to create an override record for each subgroup. Configure the following settings:
      • Leave the Employee Property selection (which is populated by default) in the Sub-Group Type drop-down list.
      • In the Value drop-down list, select the subgroup value with a default limit that you want to override.
      • Depending on availability, select either the All Employees Required checkbox (to require that all employees in the subgroup be available to work during the range period) or the All Employees Allowed Off checkbox (to grant all employees in the subgroup eligibility to bid on days in the range period).
      • Alternatively, enter a customized override limit for the subgroup in the Override Limit field.
  8. Click Next.
