Configure Delegation Access

If you're not going to access your account for a while, for example, if you're going on vacation, you might need to delegate your account access to another employee, manager, HR professional, or other user.

Important: For security reasons, access should be delegated from managers to other managers rather than from managers to employees.

Users who are delegated access to your account can access features and perform some tasks maintaining your records. For example, a user with access to your account can log in and authorize your timesheet entries to ensure that you're paid for the time that you worked before your absence.

Users who have been delegated access to your account have the option of logging in as themselves or you.

Select User dialog box with delegation access options.

To delegate your account access to another user:

  1. Go to Profile and open Settings > Preferences.
  2. In the Delegation Access section, click Add.
  3. In the Delegation Access dialog box, select options in the Give access to and Delegation reason drop-down lists.
  4. Enter the effective dates in the Effective Period fields. The user that you select has access during this period.
  5. Note: Dayforce limits the number of days in a delegation period based on the setting configured by your administrator. Contact your Dayforce admin.
  6. In the Restrict Private Information section, use the checkboxes to restrict private information. Dayforce shows these checkboxes only for certain roles. When you create a delegation record and these checkboxes aren't shown for your role, they're each selected by default in the background, so that private information is restricted.
    • Pay InformationDayforce hides pay information for employees that report to you from the delegated user. Clear the checkbox and the delegated user has full access to employee pay information as long as they are assigned the Employee Pay Information access authorization.
    • Performance Feature Access: Dayforce restricts the delegated user’s access to performance information for your employees. This includes information in the Performance features and in the Talent screen of People. Clear the checkbox and the delegated user has full access to your employees' performance information (if you, yourself, have access to it). By default, this checkbox is selected and the delegated user doesn't have access to performance information. See the Performance Guide.
    • Compensation Feature Access: Dayforce restricts the delegated user’s access to Compensation features. Clear the checkbox and the delegated user has full access to Compensation (if you, yourself, have access to it). By default, this checkbox is selected and the delegated user doesn't have access to Compensation. See the Compensation Guide.
    • PII DocumentsDayforce hides personally identifiable information. Clear the checkbox and the delegated user has full access to personally identifiable information. By default, this checkbox is selected and the delegated user doesn't have access to PII Documents.
  7. Click Save.
