Workflow Configuration for Schedule Approval

You can configure schedule approval workflows to specify the stages that schedule approvals must go through in your organization. For example, using a workflow, you could specify that two different levels of approval (such as from a team lead and a manager) must be reached before the schedule is approved and can be posted.

After the workflow functionality is configured, Dayforce shows a Request button in Schedules for users who require approval on their schedules. When users click Request, Dayforce shows the Schedule Approval Request form, which shows hours and cost information for the schedule, as well as a count of any violations the schedule contains.

When the user submits the form, their manager receives a notification that the schedule has been submitted for their approval. When the manager opens the notification in Message Center, they can click a link to go directly to the schedule to review it before approving or rejecting it.

In the Form tab, the manager can view the schedule details and provide their decision to accept or reject the request. If the manager rejects the request, the user can make changes to the schedule and then resubmit for approval. If the manager accepts the request, Dayforce enables the Post button the next time the user loads the schedule so that they can publish it.

If a user requests approval for a schedule that already has a pending approval request (for example, the user submitted the schedule for review, then had to make a change and wants to resubmit it), Dayforce prompts the user that submitting the new request will withdraw the pending one. If the user chooses to withdraw the previous request, Dayforce updates the form to indicate that the request was withdrawn, and doesn’t show the Accept or Reject buttons.

To configure Dayforce to use workflows for schedule approval, you must first create the necessary workflows following the steps described in Create Workflows and Workflow Node Properties.

After you create the necessary workflows, you can enable Dayforce to use them for schedule approval requests by doing the following:

  1. Associate the Schedule Approval Workflows with Forms
  2. Assign the Schedule Workflows to Users
  3. Assign the Schedule Approval Role Features and Authorizations
  4. Enable the Application to Use Workflows for Schedule Approval
