Overtime Application Form

The Overtime Application form records an employee’s overtime details so that they are paid an overtime premium for the extra hours worked.

Role authorization access: Schedule Data (Can Read)

Note that any overtime details submitted in this form need to match the employee’s clock entries. Employees will be awarded an overtime premium only if they work outside of their shifts and the overtime details entered in the form are the same as their clock entry data. The form submission and approval also doesn’t automatically result in the overtime premium being awarded. After the form is approved, the Pay Summary Recalc job needs to be run for the date range of the submitted form and the premium is then calculated based on the employee’s pay policy settings.

You can enter the date and time between which an employee qualifies to receive an overtime premium. The Duration field, which is a read-only field, calculates and shows the total overtime hours by subtracting the values entered in the OT Start Date and OT Start Time fields from the OT End Date and OT End Time fields.

When there are multiple schedules configured for a day, you can select which schedule to apply the overtime to in the Shift Details drop-down list. When there is only one schedule configured for a day, that schedule is selected by default. If there are no schedules configured for the day, select the Unscheduled option in the Shift Details drop-down list. You can also select the clock entries for the day in the Time Entries drop-down list.

Additionally, the Location and Job Assignment settings are pre-populated based on the employee's schedule or their primary work assignment. The Pay Code setting is pre-populated based on the employee's shift assignment or pay code group. You can edit these settings later if needed except when there is only one option available. In that case, the settings become read-only.

Note: If an entry exists in the Group Overtime form for the selected data set, Dayforce shows the appropriate validation to prevent duplicate entries from being saved, during either the application or approval stage of the form.
