Each time that a workflow is triggered, a corresponding entry is shown in Workflow Administration > Workflow Management:
Workflows are sorted by the Last Modified Date column by default, but you can click another column header to sort by it instead.
The following is a summary of the columns of the list:
| Column Name | Description |
|---|---|
| ID | The number that Dayforce automatically assigns to the workflow. |
| Workflow | The name of the workflow. |
| Form | The form associated with the workflow. |
| Status | The current state of the workflow, which can be Open, Error, Timeout, Withdrawn, and Completed. |
| Warning | The read-only checkbox shows a checkmark if a notification recipient couldn’t be found, and the workflow continued to the next node. |
| Affected Employee | The user whose records are affected by the form processed in the workflow. |
| Submitted By | The user who submitted the form that started the workflow, including delegates who submitted the workflow on behalf of another user. |
| Submitted Date | The date and time that the workflow was initiated. |
| Last Modified Date | The date and time that the workflow was last changed. For example, the time that a notification was sent. |
You can click Filter to open a panel where you can use one or more options to filter the list of workflows. You can also click Favorites to save your current filter settings as a favorite or load an existing favorite. By default, no filter is specified.
Note: The filter results include the matching workflows that you had access to view when the workflow was submitted. For example, if you had location access to an employee from January to June, the workflows that were submitted during this period for that employee are returned. Workflows that were submitted before January or after June aren't shown.
When you select an entry from the list, Dayforce opens a slide-out panel that shows the workflow history and the associated diagram:
The top part of the workflow history shows general information about the workflow, including when it was submitted, which form it’s associated with, its status, and the affected employee.
The left panel shows a list of entries for the completed stages of the workflow. Each entry includes a short description of the event and the date and time that it was completed. If the workflow is stopped because the data gate for the employee’s pay group is closed, Dayforce indicates this status in a message at the top of the list of entries.
Note: The closure of the data gate affects only the Process node of workflows. The other operations in the workflow, such as routing to an approver, continue.
The right side shows the workflow diagram with the active node highlighted yellow. Click an entry in the left sidebar to highlight the node associated with the event in orange on the diagram.
Click Refresh above the workflow diagram to update the slide-out panel to show the latest activity.
You can perform the following actions in the slide-out panel for a selected workflow:
