The Group Overtime form records the overtime details for multiple employees at the same time. Note that this form is available only to managers so that they can submit overtime information on behalf of their employees. This form lets managers submit overtime details for multiple employees who share the same shift, location, job assignment, pay code, and overtime purpose.
Note the following when using this form:
- The way the retroactive data coming into the form is capped depends on how the following settings are configured in Pay Setup > WFM Form Config:
- Grace Period for Submission
- Grace Period for Approval
- Grace Period for Past
- Grace Period for Future
- Minimum Duration
- When an entry already exists in the Overtime form for the selected data set, Dayforce shows the appropriate validation to prevent duplicate entries from being saved, during either the application or approval stage of the form.
- The data is only committed to the database after the form is approved. Upon approval, the entry is saved as an individual record with a flag to identify whether it originated from this form or the Overtime form.
You can enter the date and time during which an employee qualifies to receive an overtime premium. The Duration field, which is a read-only field, calculates and shows the total overtime hours by subtracting the values entered in the OT Start Date and OT Start Time fields from the OT End Date and OT End Time fields.
When there are multiple schedules configured for a day, you can select which schedule to apply the overtime to in the Shift Details drop-down list. When there is only one schedule configured for a day, that schedule is selected by default. If there are no schedules configured for the day, select the Unscheduled option in the Shift Details drop-down list.
Additionally, the Location and Job Assignment settings are pre-populated based on the employee's schedule or their primary work assignment. The Pay Code setting is pre-populated based on the employee's shift assignment or pay code group. You can edit these settings later if needed, except when there is only one option available. In that case, the settings become read-only.
The Load Employee(s) button becomes available after you have filled out the mandatory fields. After it's available, you can click Load Employee(s) to load the list of employees in the Employee(s) drop-down list who match the shift, location, job assignment, pay code, and the time entries that overlap with the overtime start and end time selected in the form. You can then select all or specific employees that you want to submit overtime details for.
Note: The list of employees shown might be empty if no employees match the criteria, or it might exclude employees whose clock entries are missing.
Submitted and processed forms update the Timesheets feature for the corresponding day.
