Actionable Message Configuration

When a form is configured for actionable messages, the recipient of a message can take action on a form from their email account.

For example, through actionable messages, managers can quickly perform actions on forms without logging in to Dayforce. In cases when a form is more sensitive, you can configure the form so that when you click the email link, you go to the form in Dayforce.

To configure actionable messages, the following components need to be set up in Dayforce:

Enable Email Verification

To enable email verification for your organization, select the Enable Email Verification property in the Security section of the Properties tab in System Admin > Client Properties.

Enable Dayforce Links in Messages

Select the Dayforce links in messages use SSO (if enabled) checkbox in the General section of the Properties tab in System Admin > Client Properties. If you have single sign-on (SSO), this allows Dayforce to use the SSO login process when you click a link in a Dayforce message.

Specify Token Expiry Time for Messages

Enter a value in the Token Expiration Time (in Minutes) field in the General section of the Properties tab in System Admin > Client Properties. This value indicates the amount of time it takes for the links in actionable messages to expire.

Dayforce shows the expiration time in the actionable message. The default value is 7 days (10,080 minutes).

Verify Email Address

Enter the approver’s electronic address in the Email Addresses section of the Personal > Contact Information screen in People, and then select the Alerts checkbox. After you save the information, Dayforce sends a verification email to the address that you specified. After you click the link to complete the process, Dayforce shows a checkmark in the Verified field:

Note: Employees who are set up as approvers can select the Alerts checkbox for their own email address in the Contact Information section of the Personal > About Me sub-tab in Profile.

Enable Form Builder and Allow Email

Assign the Form Builder and Allow Email role features to the Client Administrator role in the Features tab of System AdminRoles.

Enable Approval Notification for Forms

To enable approval notifications for a form:

  1. Go to Workflow Administration > Form Builder.
  2. Click a form in the sidebar.
  3. Click the Properties tab.
  4. Select the Send Approval Notification to Email checkbox.
  5. (Optional) If the form contains sensitive information, select the Authentication Required checkbox. When this checkbox is selected and the approver clicks the email link, they’re brought into Dayforce to take action on the form.
  6. Note: The Authentication Required checkbox is shown only after you select the Send Approval Notification to Email checkbox.

Configure Workflows

Configure the workflow in Workflow Administration > Workflow Designer, as described in Create Workflows.

Important: When you configure a workflow diagram to use actionable messages for time away from work, the link names must be Accept and Reject.

For time away from work workflows, additional configuration is required. See Workflow Configuration for Time Away from Work.

You also configure the email message that will be used for the actionable messages in Workflow Administration > Workflow Designer. See Compose Workflow Messages.

Link Forms to Workflows

Link the form and workflow in Workflow Administration > Role Privileges. See Associate Forms with Workflows.
