Before You Begin: Questionnaire sections need to be configured with the Allow Post-Application setting. See Configure Post-Application Questionnaires.
Use post-application questionnaires to gather additional information from candidates after they apply for jobs. When Dayforce users request one of these questionnaires, candidates receive emails requesting they click a link to complete their questionnaires.
Role feature access: Recruiting > Recruiting > Actions > Send Post-Application Questionnaires
Send a Post-Application Questionnaire Request to a Candidate
To send a post-application questionnaire request to a candidate:
- Go to the candidate's profile (or select one or more candidates in the candidate grid) and select Contact > Send Post-Application Questionnaire.
- In the Send Post-Application Questionnaire panel, select who is sending the request (either the hiring manager or the recruiter), the questionnaire section, and the number of days before the request expires. Then click OK.
Candidates receive emails requesting that they complete the questionnaires.
If candidates answer the questionnaire more than once, the most recently answered questionnaire is kept, regardless of whether it was at the profile level or the application level.
Send Post-Application Questionnaire Requests Automatically
You can set up Dayforce to send post-application questionnaires to candidates automatically after they apply for a job.
You can add this behavior to individual job requisitions when you create either workflowed or non-workflowed requisitions. You can also add it in Recruiting > Job Requisitions from any job requisition's Details tab. To enable this behavior, select the Send Post-Application Questionnaire Automatically checkbox from any of these locations. When you select this checkbox, the following fields are available:
- From: The sender of the questionnaire email. This can be the hiring manager or recruiter, if their business email addresses are available. Your name is also shown, if your business email is available and you are neither of these individuals. The system email address from the Candidate Communication Email Address setting in Recruiting Setup > Client Properties is also listed.
- Post-Application Questionnaire: Select from the list of available questionnaires.
- Expiration in Days: The number of days before the link will expire, after which candidates will not be able to access the questionnaire.
When candidates submit their applications from client career sites, they receive a link to the post-application questionnaire at the email address they provided. The application doesn't send the email to candidates who didn't provide an email address. For internal candidates, the application sends the link to their email address via external email, not from Message Center.
If the email is sent successfully, it’s included as an entry in the Communications tab in both candidate profiles and candidate application profiles. The questionnaire is also shown with Sent status in the Questionnaires sub-tab of the Screening tab of the profiles.
View Completed Questionnaires
To view completed questionnaires, look at the Post-Application Questionnaire column in the Candidates tab of Recruiting > Job Requisitions. This column shows the status (Sent, Completed, and Expired) of the post-application questionnaires sent to each candidate. If there are multiple questionnaires in different statuses, each of the statuses is shown with a count.
Role feature access: Recruiting > Recruiting > Actions > Send Post-Application Questionnaires.
Click on each status to see a panel listing all of the post-application questionnaires in that status. The panel provides links to cancel each questionnaire, if it isn’t in completed or expired status. It also shows send dates, cancellation dates, and who sent and/or canceled each questionnaire. You can expand each questionnaire to see its questions and answers.
Alternatively, you can go to the Screening > Questionnaires tab in a candidate's profile to see the questionnaires they completed.
Role feature access: Recruiting > Recruiting > Candidates > Questionnaires Tab > Post-Application Questionnaires
Cancel a Candidate's Questionnaire
You can cancel a candidate's post-application questionnaire if you have permission, if the candidate hasn't yet completed it, and if it hasn't expired yet. The candidate will be sent an email that it was canceled.
You can review and cancel questionnaires in either of the following locations:
- Beside the candidate's name in the Candidates tab of the job requisition, in the Post-Application Questionnaire column.
- In the Screening > Questionnaires tab of the candidate's profile.
