Dayforce consistently detects and declines duplicate job applications that are submitted by the same candidate for the same job, regardless of their source: client career sites, third-party sources such as Indeed, sourcing APIs, or recruiter uploads.
Dayforce uses consistent criteria to identify duplicate applications, which must have the same first name, last name, email address, and phone number if applicable. The duplicate applications are accepted into the system, flagged with the "Duplicate Application" decline reason, and then automatically declined. They don't trigger unintended assessments, workflows, or automated communications. To ensure consistency and trackability, audit entries capture the source, timestamp, and matched candidate information for each duplicate application.
When duplicate applications are declined, you see them in the Disqualified Candidates tab in Recruiting > Job Requisitions. You can also see them in the Jobs Applied For tab of candidate profiles and candidate application profiles.
You might be able to identify duplicate applications yourself with the "Duplicate Application" decline reason from the Decline Reason drop-down list of the Decline Candidates dialog box, if configured.
Note: This decline reason isn't shown by default. To add it, go to Recruiting Setup > Decline and Offer Rejection Reason. Select the Decline Reason checkbox in the Duplicate Application row.
Candidates in client career sites won't see any of the duplicate applications they submitted when they go to the Jobs Applied For tab. They are notified that their job application was a duplicate, if there’s a notification workflow that’s configured and gets triggered.
For evergreen job postings where the candidate’s reapply period isn't completed yet (that is, where the Reapply period in days field doesn’t show zero), the candidate’s applications are declined as duplicates. When their reapply period is completed (that is, at zero), candidates can reapply if their former application is in hired or declined status. If it's not in either of these statuses, their new application is declined as a duplicate.
