Work assignments combine the job assignment with the org unit where an employee works. They are used in various areas of Dayforce, such as scheduling and payroll.
An employee's primary legal entity is the one linked to their primary work assignment in the Work > Work Assignments screen. If an employee has more than one active work assignment in a pay period for a legal entity that isn't their primary legal entity, you must designate one of these work assignments as the "primary" work assignment for the non-primary legal entity.
Before You Begin: If you don't see the Non-Primary Legal Entity section, go to System Admin > Client Properties and select the Enforce matched pairing of Work Assignment and Legal Entity payroll property.
Consider the example described in the following table, which lists all of the work assignments of a hypothetical employee.
Job Assignment | Work Location | Legal Entity | Is Primary? |
---|---|---|---|
Bakery Associate | Store 110 | Downtown Bakery | Yes |
Retail Associate | Store 501 | Budget Groceries | No |
Cashier | Store 501 | Budget Groceries | No |
In Work > Work Assignments, the bakery associate role at Downtown Bakery is configured as the primary work assignment for this employee. As a result, Downtown Bakery is this employee's primary legal entity and Budget Groceries is considered the non-primary legal entity.
The employee has two secondary work assignments under Budget Groceries: retail associate and cashier. To ensure time data and payroll are processed correctly, Dayforce requires you to designate one of these work assignments as "primary" for the Budget Groceries legal entity.
How to Pick a Primary Work Assignment for the Non-primary Legal Entity
The job assignment that is specified as "primary" is printed on the earning statements for work performed for the non-primary legal entity.
For US payroll, Dayforce uses this work assignment to assign a state for the SUI tax for the non-primary legal entity. This designation is especially important if the two work assignments in the non-primary legal entity are in two different US states.
To designate a secondary work assignment as primary for a non-primary legal entity:
- Go to People, open the employee profile, and click Work > Work Assignments.
- In the Non-Primary Legal Entity section, click Add.
- Enter Effective From and Effective To dates that cover the period when the employee has more than one work assignment for the non-primary legal entity. (If the employee will continue with both secondary work assignments, you can leave the effective end date blank.)
- In Legal Entity, select the non-primary legal entity.
- In Work Assignment, select the secondary work assignment that is considered the "primary" work assignment for the non-primary legal entity and click Save.
