You can assign an interim occupant to an occupied position in Organization Designer > Positions. A position must have interim occupancy enabled before you can assign an interim occupant.
For example, an employee occupies their primary position but is on leave. You can assign an existing employee to the position as an interim occupant during the leave period. The interim occupant can be assigned a primary or secondary assignment for the interim occupancy.
Enable Interim Occupancy for a Position
To enable interim occupancy for a position:
- Go to Organization Designer > Positions.
- Select a position.
- In the position panel, select the Supports Interim Occupancy? checkbox.
- Click the save button in the toolstrip.
Add an Interim Occupant to a Position
To add an interim occupant:
- Go to Organization Designer > Positions.
- Select a position that has been enabled for interim occupancy.
- In the position panel, click the Occupants tab. You will see one of the following options:
- If the position already has a primary occupant, the Assign Interim Occupant section is displayed under the primary occupant's details.
- If the position doesn't have a primary occupant, you will see the Assign Interim Occupant switch. Toggle the switch on to assign an interim occupant.
- In the Employee Name drop-down list, select the employee who you want to assign to this position as an interim occupant.
- Enter effective dates for the interim occupancy. If this is going to be the employee's primary position, the Effective To field is editable only if they have an existing primary position that they will return to after the interim period. Dayforce doesn't otherwise support end dates for primary positions.
- Clear the Is this the Primary Position? checkbox to make this position the interim occupant's secondary position and work assignment. Employees must have a primary position before they can be assigned secondary positions.
- In the Create Reason drop-down list, select the reason for the occupancy.
- Click Select Work Assignment. The Assignments tab opens and displays the list of work assignments that will be created when you click Save & Complete.
- (Optional) Select the Virtual checkbox if this is a virtual position.
- Click Save & Complete.
The employee is added as the position's interim occupant and they are displayed in the Occupants > Interim tab. The work assignments that were displayed are added for the employee, and they are shown as read-only in the Occupants > Interim tab. If you added an effective to date, Dayforce adds a primary position assignment for the employee's previous position that starts one day after the end date of the interim position.
Note: If you can't see the interim occupant in the position panel, you might need to change the date in the hierarchy's As Of Date field.
Convert an Interim Occupant to a Primary Occupant
When the primary occupant vacates a position while there is an interim occupant, you can use the convert feature to make the interim employee the primary occupant. The convert feature is available only if there is no primary occupant for the position.
To convert a position's interim occupant to the primary occupant:
- Go to Organization Designer > Positions.
- Select a position with an interim occupant that you want to convert.
- In the position panel, go to the Occupants tab.
- Click Convert under the occupant’s name and employee number.
- Enter effective dates for the interim occupancy. If this is going to be the employee's primary position, the Effective To field is editable only if they have an existing primary position that they will return to after the interim period. Dayforce doesn't otherwise support end dates for primary positions.
- Select a reason for the change.
- If this is the employee's primary assignment, select the Primary checkbox. If the interim assignment was the employee's primary position, the checkbox is selected and can't be cleared.
- If you selected the Primary checkbox, you will see the Work Assignment Location field. If the position has more than one associated position, select the one for the employee's primary assignment.
- (Optional) If the employee works virtually, select the Virtual checkbox.
- Click OK.
After the employee has been converted to primary occupant, you can revert them back to their previous primary assignment. If their interim occupancy in this position was their primary assignment, clicking Revert to Previous Position reverts them back to the interim occupancy. If their interim occupancy in this position was a non-primary assignment, clicking Revert to Previous Position reverts them back to the position they occupied before their interim occupancy.
