You can assign an interim occupant to an occupied position in Organization DesignerPositions. A position must have interim occupancy enabled before you assign an interim occupant. For example, when an employee goes on leave, you can assign another employee to the position as an interim occupant during the leave period. The interim occupant can be assigned a primary or secondary assignment for the interim occupancy.

Enable Interim Occupancy for a Position

To enable interim occupancy for a position:

  1. Go to Organization DesignerPositions.
  2. Select a position.
  3. In the Information > Details tab, toggle the Supports Interim Occupancy? switch to on.
  4. Click the save button in the toolstrip.

Add an Interim Occupant to a Position

To add an interim occupant:

  1. Go to Organization DesignerPositions.
  2. Select a position that has interim occupancy enabled.
  3. In the position panel, go to the Occupants > Interim tab.
  4. Click Add Interim Occupant.
  5. In the Employee Name drop-down list, select the employee who will be the interim occupant.
  6. Enter the effective dates for the interim occupancy. If this is the employee's primary position, the Effective To field is editable only if they have an existing primary position that they will return to after the interim period. Dayforce doesn't otherwise support end dates for primary positions.
  7. Optionally, toggle the Is this a Primary Position? switch to off to make this the employee's secondary position and work assignment. Employees must have a primary position before they can be assigned secondary positions.
  8. In the Create Reason drop-down list, select the reason for the occupancy.
  9. If the position has more than one work assignment and it’s the employee’s primary position, select the Primary checkbox for the employee’s primary work assignment.
  10. (Optional) If this position is virtual, toggle the Virtual switch.
  11. Click Save.

The employee is added as the position's interim occupant and they’re shown in the Occupants > Interim tab. The work assignments that were shown are added for the employee, and they’re shown as read-only in the Occupants > Interim tab. If you added an effective to date, Dayforce adds a primary position assignment for the employee's previous position that starts one day after the end date of the interim position.

Note: If you can't see the occupant in the position panel, you might need to change the as of date at the top left of the screen.

Convert an Interim Occupant to a Primary Occupant

When the primary occupant vacates a position while there’s an interim occupant, you can use the convert feature to make the interim employee the primary occupant. The convert feature is available only if there’s no primary occupant for the position.

To convert a position's interim occupant to the primary occupant:

  1. Go to Organization DesignerPositions.
  2. Select a position that has no primary occupant and an interim occupant that you want to convert.
  3. In the position panel, go to the Occupants > Interim tab.
  4. Click the additional options menu next to the occupant you want to convert and select Convert.
  5. In the Convert Interim to Principal Occupant screen, enter the effective dates for the occupancy. If this is going to be the employee's primary position, the Effective To field is editable only if they have an existing primary position that they’ll return to after the interim period. Dayforce doesn't otherwise support end dates for primary positions.
  6. Select a reason for the change.
  7. If this position is the employee's primary assignment, toggle the Is this a Primary position? switch to on. If the interim assignment was the employee's primary position, the switch can’t be toggled off.
  8. If the position has more than one work assignment, select the Primary checkbox for the employee’s primary work assignment.
  9. (Optional) If this position is virtual, toggle the Virtual switch.
  10. Click Convert Occupant.

After the employee has been converted to primary occupant, you can revert them back to their previous primary assignment. If their interim occupancy in this position was their primary assignment, clicking Revert to Previous Position reverts them back to the interim occupancy. If their interim occupancy in this position was a non-primary assignment, clicking Revert to Previous Position reverts them back to the position they occupied before their interim occupancy.
