Click the Process Job button to run one of the available background jobs: Generate Preview or Ready for Print and Filing. The Ready for Print and Filing option is restricted to the pay groups to which the administrator has pay group access. This prevents inadvertent printing and filing of tax forms for employees in pay groups to which the administrator does not have access. If the administrator does not have access to all pay groups in a legal entity, they do not see the Ready for Print and Filing option. |

In the Overview tab, the list of entries for US legal entities with payroll data for the year has the following columns:
- Legal Entity: Displays the name of the legal entity; you can only select one legal entity at a time.
- Legal Entity Status: Indicates the current status of the legal entity, such as Active.
- Pay Group: Displays the number of pay groups in that legal entity. The number is a link that you can click to view all of the pay groups associated with the legal entity, past pay period number, pay date, and commit date.
- Generated On: Date and time that tax forms were generated.
- Ready For Print and Filing On: Date and time that tax forms were marked ready for printing, or when they were printed.

About the Filing Committed and Print Committed Statuses
When a legal entity (or those pay groups to which an administrator has access) is marked Ready for Print and Filing, these statuses turn orange and include hover text with information about the user and date and time that the legal entity was marked ready. After Support runs the background job to print and file, these statuses turn green and indicate the date and time that print and filing was committed, which you can view by hovering the cursor over the status.
If you have not generated tax forms for a pay group for a selected year, the status markers will be grayed out, as seen here:
You can generate the tax forms for a legal entity by selecting its entry in the list, then clicking Process Job > Generate Preview. After Dayforce finishes running the background job to generate preview tax forms, the status indicators in the list change to show you the most current status, as seen here:
If there are any uncommitted pay runs for the year in this legal entity, the application opens a dialog box, prompting you to select the uncommitted pay runs that you want to include in the generation of the tax forms, as illustrated here:
You can only include uncommitted pay runs for a year in the preview tax forms. You must commit all pay runs in the legal entity before committing year end tax forms for print.
Publishing status of W-2 forms with third-party tax filing providers
If your organization is configured to make published tax forms (Form W-2) available to third-party tax filing providers so that employees can opt-in to use third-party tax filers, Dayforce includes a check in the status indicator circle that you can hover the cursor over to display a tooltip.
If the check is yellow, the tax forms have been generated (a snapshot has been taken) but have not yet been printed, and the tooltip message reads "W2 Forms will be available when Published."
If the check is green, the tax forms have been printed, and the tooltip message reads "W-2 statements have been published to year end affiliate, allowing form access for the employee."
