The Canada Year End Overview Tab

The following controls appear in the toolstrip above the list in the Overview tab of Year End > Canada Year End:

Button or Icon Definition
Year drop-down list. Click the Year drop-down button to select the year to display its corresponding year end information.
Process Job drop-down list. Click the Process Job button to run one of the available background jobs: Generate Preview, or Request Print and Filing.

The Request Print and Filing option is restricted to the pay groups to which you have pay group access. This option prevents inadvertent printing and filing of tax slips for employees in pay groups to which you do not have access. If you do not have access to all pay groups in a legal entity, you do not see the Request Print and Filing option.
Favorites button. Click the Favorites button to expand a panel that contains view and filter settings. Filter settings include the Legal Entity drop-down list and the Display Errors Only checkbox to filter results according to the legal entity or those with errors only. Click Apply to set the filter or click the Close button to cancel and close the panel. The other controls in the View section are Click Save to Favorite, Set as Default, Rename Favorite, and Delete Favorite.
Current Favorite field and drop-down list. Click the Current Favorite drop-down button to open a list of any saved favorite filtering views.
Refresh icon. Click the refresh icon to refresh the view of the Year End list.
Reprint drop-down list. Click Reprint and click either Request or History to make a new reprint request or to view existing reprint requests.
Export Problems drop-down list. Click the Export Problems drop-down to export any error messages associated with the year end processing for the selected legal entity. Exports take the form of a CSV file.
Cutoff Dates button. Click Cutoff Dates to view the filing and printing cutoff dates for Canada for the selected year.
Reports button. Click Reports to open a dialog box where you can select fixed format reports for Year End. See Reports Available in Year End > Canada Year End.
Package Tracking button. Click Package Tracking to view package tracking details for the selected pay group for the specified year.

The Overview tab provides information about the Canadian legal entities with payroll data for the current year, organized into the following columns:

  • Legal Entity: Shows the name of the legal entity.
  • Pay Group: Shows the number of pay groups associated with the legal entity. Click the number link to open a dialog box showing the information about the pay groups.
  • Generated On: Shows the date and time that tax slips were generated.
  • Print/Filing Requested On: Shows the date and time that tax slips were requested to be printed and marked as ready for filing.
  • Filing Committed On: Shows the date and time that tax slips were committed and sent for filing with the Government.
  • Amendment: Shows the number of amended tax slip requests associated with the legal entity for the loaded year.
  • Problems: Shows the number of errors and warnings.
  • Status: A circular status marker showing the following statuses of the legal entity for the year:
    • Final Pay
    • Forms Generated
    • Print Committed
    • Filing Committed

About the Filing Committed and Print Committed Statuses 

You can generate the tax slips for a legal entity by selecting its entry in the list, then clicking Process Job > Generate Preview.

When you run the Request Print/Filing process job for a legal entity, the Print Committed and Filing Committed statuses in the Status column turn orange and include hover text with information about the user, date, and time that the legal entity was marked ready.

Mouseover hover text that states the year end files are marked ready for print and filing.

When these processes are complete, these statuses turn green and indicate the date and time that print and filing was committed, which you can view by hovering the cursor over the status.

If you have not generated tax slips for a legal entity for a given year, the status marker is grayed-out:

Possible statuses of process jobs in the list in the Overview tab
Status Description
Complete

In the Status column, when a process job completes successfully, the process name and the part of the circular status marker that represents that process turns green.

For example, when Dayforce finishes running the background job to generate preview tax slips, the Forms Generated text turns green in color to show the successful completion of the background job.

Status text for the forms generated job is green when the job completes successfully.

Error If errors occur as a result of running a process job, in the Problems column, a number representing the number of errors that occurred is displayed next to the error icon (Error icon is a red letter x inside a red circle.). You can export the list of errors and warnings as a CSV file by clicking Export Problems.
Warning If warnings occur as a result of running a process job, in the Problems column, a number representing the number of warnings that occurred is displayed next to the warning icon (). You can export the list of errors and warnings as a CSV file by clicking Export Problems.

If there are any uncommitted pay runs for the year in the pay groups associated with the selected legal entity, Dayforce shows a dialog box asking you to select any uncommitted pay runs that you want to include in the generation of the tax slips.

Confirmation dialog box displays the uncommitted pay runs that you want to include.

You can only include uncommitted pay runs for a year in the preview tax slips. You must commit all pay runs before committing year end tax slips for print.
