Termination Rules

Termination rules are configured so that The Election Management Feature automatically end-dates elections when employees are terminated. The purpose of a termination rule is so that you can quickly and easily configure elections that should automatically be end-dated upon an employee's termination.

Another benefit of end-dating an election upon termination is so that the election does not automatically resume if the terminated employee is later rehired. If you later rehire an employee, you can readd the election as a managed rule. Because Election Management end-dates elections automatically when an employee is terminated, you do not have to manually end these elections. Optionally, you can configure a termination rule to include employees with an inactive status.

Election Management will not auto-assign an election that is only configured under a termination rule to an employee. However, if an employee already has an election that has that configuration, the election will be end-dated if that employee is terminated. You can include an election in a managed and in a termination rule. For any effective period in which both rules apply, the termination rule takes priority. However, you cannot set an Inactive status in both a managed and termination rule that has the same election. The following sections describe the general process flow for configuring a termination rule:

When you create or work with an existing termination rule, the Election Management screen includes several basic fields, such as Rule Name and Description. The screen also shows the following fields:

Active If you select this checkbox, designates the rule to be processed by the Calculate Election Management background job. Only active rules are processed by the Calculate Election Management background job.
Effective From Designates when Election Management begins processing rules that are effective when the Calculate Election Management background job is run
Effective To Designates the date when the Election Management feature should process rules until. The feature only processes rules that are effective at the time when the Calculate Election Management background job is run.

The Employee Criteria Section

After you name your termination rule and set the effective dates, you can move on to the Employee Criteria section, where you can set the criteria that an employee must meet for the election to be end-dated. When you add a termination rule, Election Management automatically adds the Terminated status type. You can add other criteria elements to the rule, as needed. Note that you can only add a specific criteria once for a rule. If you add multiple criteria, the AND logic applies between each criteria. The following criteria are available for a termination rule:

Employment Status Status Type The Status Type criteria is a required filter. The only available options for this selection include the Terminated and Inactive status types.

Employment Status Pay Group Country This drop-down list only shows the countries for which a pay group is configured.

The Automatically End Elections Section

Next, in the Automatically End Elections section, you can set when an election will end when an employee meets your defined criteria. The following table provides descriptions for the fields in the Automatically End Elections section when you add a termination rule:

Field Description
Election Select one or more generated earning or deduction elections that this rule will end-date. You can select multiple elections in each row, as long as they have the same end date. For more information about configuring an earning or deduction for Election Management, see the Options Subtab section in the Earnings and the Earnings Tab and Subtabs of the Deductions Tab topics in the Dayforce Implementation Guide.

Note: Only earnings and deductions that are configured for termination rule access are available for selection.

End Date

Select one of the following options:

  • When Criteria Matches: The election is end-dated on the date when the employee qualifies for the defined criteria for this rule
  • Termination Date: The election is end-dated on the date that is set to the most recent termination date on the employee record. If you select this option and no termination date is populated on the employee's record, Election Management uses the When Criteria Matches date to end-date the election.
  • Last Pay Date: The election is end-dated on the date set to the Last Pay Date under the employee's most recent employment status. If you do not define a Last Pay Date on the most recent employment status, Election Management will use the Termination Date. If no Termination Date exists, Election Management will then use When Criteria Matches date to end-date the election.
Delay Until

(Optional) Select a delay option in relation to the End Date option that you selected. If you leave this field empty, the election is created with an effective end date based on the selection in the End Date field. Select from the following options:

  • Last Day of the Pay Period: The end date is set to the last day of the pay period in which the end date falls.
  • Last Day of the Month: The end date is set to the last day of the calendar month in which the end date falls.
