Statements > Earnings Statements

In the Statements > Earnings Statements screen of People, you can view and print earning statements and statement summaries for the employee you've loaded. You can also generate a PDF containing one or more of the employee's statements, such as those from the last six months.

The following is an example of the Statements > Earnings Statements screen:

Statements are grouped by year, and you can click a year to expand or collapse the statements below it.

By default, the list includes statements with pay dates from one year in the past to one month in the future, but you can change the filter settings.

However, this list doesn't display earning statements that meet all of the following criteria:

  • The employee's employment status is other than Active.
  • There are zero value total amounts recorded on every pay period section.
  • There are zero value amounts recorded for all earning line items.

The toolstrip includes the following buttons:

  • Filter: Opens a panel for filtering the list of statements.
  • Select: Contains options for selecting statements from the list.
  • Print: Select one or more of the employee's statements from the list and click Print. This generates a PDF file of the statements that you can download in Message Center.

The list of statements includes the following columns:

  • Statement: Displays the legal entity and check number of the payment.
  • Pay Date: Displays the pay date of the pay period that is associated with the payment.
  • Type: Displays one of the following payment types:
    • Normal
    • Additional
    • Adjustment
    • Auto Void
    • Manual
    • Onsite (US only)
    • Third Party Sick Pay Adjustment (US only)
  • Check Template: Displays the check template that is associated with the payment.
  • Gross Pay: Displays the pay amount before deductions. This column is only displayed if the Enable gross data on earning statement header checkbox is selected for the employee's pay group in the Payroll Properties tab of Pay Setup > Pay Group.
  • Net Pay: Displays the pay amount after deductions.

View and Print Individual Statements and Summaries

To open a statement, click its name below the Statement column. Dayforce loads it in a dynamic tab:

You can click Print at the top left of the statement to print it out.

You can click the Summary button on the right end of the screen to switch to a summary view:

The summary includes a breakdown of earnings and deductions of the payment. You can hover the cursor over the pie chart to view percentages.

You can click Print at the top left of the summary to print it out.

To return to the list of statements, click the Statements tab:

You can open multiple tabs at a time, and you can click the X on each tab to close them.

Filter the List of Statements

You can click Filter in the toolstrip to expand the filter panel. The Pay Date filter is loaded by default and shows statements with pay dates from one month in the future to one year in the past. To add additional filter options, click Add Filter.

The filter options are described as follows:

  • Pay Date: Enter a pay date range.
  • Check #: Enter all or part of a check number.
  • Check Type: Select one or more check types (for example, Normal, Additional).
  • Legal Entity: Select one or more of the employee's legal entities.

Generate a PDF of Statements

You can generate a PDF file that contains one or more of the employee's earning statements. For example, the file can contain statements from the last six months or just the last two pay periods. After you generate the PDF, it's available to download in Message Center.

To generate a PDF, select one or more statements from the list and click Print.

Notes:

  • You can only generate a PDF of statements for the individual employee.
  • Generating a PDF isn’t supported for earning statements that are sourced from the ConnectedPay functionality. These statements display External below the Type column of the list. If you select one of these statements from the list, the Print button is grayed out.

There are a number of ways to select statements that you want to include in the PDF:

  • Select the checkbox next to the individual statements.
  • Select the checkbox at the top of the list to select all of the statements that are currently filtered in the list:
  • Cursor over multi-select checkbox at top of list.
  • For example, you can filter the list to include six months of statements, and select the checkbox at the top of the list to select them all.
  • Select the checkbox next to a year to select all of the statements in that year that are currently filtered in the list. You don’t need to expand the year to select all of the statements.
  • Click Select in the toolstrip to expand the following options:
    • Select All: Selects all of the statements currently filtered in the list.
    • Select Inverse: Inverts your current selections in the list.
    • Select None: Clears your selections.
    • Select Last 30 Days: Selects statements currently filtered in the list that have pay dates in the last thirty days.
    • Select last 6 Months: Selects statements currently filtered in the list that have pay dates in the last six months.

When you click Print, Dayforce shows a message at the bottom of the screen to indicate that the PDF is being generated.

Click the Message Center icon ( ) at the top right of the screen to download the PDF from your inbox. The name of the message in your inbox starts with "PayrollEarningStatementReport".

Note: If the file is not shown in your inbox, click Refresh. The time it takes to generate the file depends on the number of statements it includes.
