Print Onsite Checks

Using the Checks sub-tab of Payroll > Data Entry, you can print onsite checks at your physical locations, using a standard office printer and pre-printed check stock, or using magnetic ink and non pre-printed check stock. To print checks, first make sure that you have a supply of blank check stock.

You can print onsite checks for all of the US pay groups in Dayforce to which you have access and for the following pay runs:

  • The current pay run that is open.
  • The next scheduled pay run.
  • Off-cycle pay runs that are open and associated with the current and next pay runs of a pay group.

You can print individual Onsite checks by selecting them and clicking Print, or you can print batches of onsite checks by clicking Batch Print. The application only displays the Print button when you select an onsite check that has either the None or Failed status. Before you can print an onsite check, you need to save it.

Before You Begin

  • Chrome is the recommended browser for onsite check printing.
  • To properly print an onsite check, in the printing options of your browser, you need to set the print size to actual size. In the Print dialog box of Chrome, you do this by selecting Default in the Scale field.
  • Scale field in the Print dialog box with the Default option selected.
  • Only organizations in the United States who have completed the appropriate approval process and configuration can print onsite checks.
  • Ensure that the correct selection is made in the Onsite Check Stock Type drop-down list in the Payroll section of the Properties tab in System Admin > Client Properties before printing onsite checks.
  • To display an employee’s accrued entitlement balances on an onsite check, you need to enable this functionality for their pay group. The onsite check will only print the current balance from the last committed pay run. To configure the pay group, in the Payroll Properties tab in Pay Setup > Pay Group, select this checkbox: Display Current Accrual Balance For Onsite Checks. Print Individual Onsite Checks

To print a single onsite check:

  1. Load the blank check stock into your printer.
  2. Go to Payroll > Data Entry and click the Checks sub-tab.
  3. Select the check that you want to print from the list, and click Print. The application displays the Enter Check Details dialog box.
  4. In the Check Number field, enter the number of the check that is printed on the check stock.
  5. If needed, select a different date in the Check Date field, which is the check date that the application generates on the check and is set to the current date, by default. You cannot enter a date before the current date or after the pay period in which you added the check.
  6. Click Finish to proceed with printing.
  7. The application displays the Confirm Print dialog box. For all browsers other than Firefox, the application also automatically displays the Print dialog box of your browser, where you print the checks.
  8. For Firefox only, the application does not display the Print dialog box automatically. Instead the Confirm Print dialog box displays a link that you need to click to open a separate browser tab where you print the checks in Adobe Acrobat Reader.
  9. Do one of the following, depending on which browser you are using:
    • In all browsers other than Firefox, use the Print dialog box of your browser to print out the checks.
    • In Firefox only, click the Print In Adobe Acrobat Reader link of the Confirm Print dialog box, and print the checks outside Dayforce in the Adobe Acrobat Reader tab that loads. Then, return to Dayforce.
  10. In the Confirm Print dialog box, the Print Status column for the check is set to Successful, by default.
  11. Do one of the following:
    • If you are can print the check successfully, click OK. After you click OK, you or other users can’t edit the records for the check or print it again in Payroll.
    • If there was a problem printing the check (for example, the check didn’t print clearly because the printer was low on toner or the check stock was damaged, due to a paper jam), select the Failed option in the Print Status drop-down list, and enter the reason for the failure in the Reason field. If you select this option, you or other users can print the check again by performing the previous steps. Be sure to enter the number on the new check stock in the Enter Check Detail dialog box before printing. However, you or other users cannot edit the records for this check.
  12. If you indicated in the previous step that the print was successful, the application displays the Committed status in the Status column for the check. If you selected Failed, the application displays the Failed status in Status column for the check.

Note: If an error occurs that marks the status of the check as In Process, you must contact a Service role user to reset the status to None so that you can reprint the check. See Override In Process Onsite Checks.

Batch Print Onsite Checks

Before You Begin: The batch print feature includes a step where you can preview each check that you want to print.

You can use the Batch Print Wizard to print up to fifty onsite checks at a time.

To use the Batch Print Wizard to print onsite checks:

  1. Load the blank check stock into your printer.
  2. Go to Payroll > Data Entry, and click the Checks sub-tab.
  3. Click Batch Print to open the Batch Print Wizard. The application shows a list of onsite checks for the pay run.
  4. Select the checkboxes to the left of the employee's name to select which checks to print.
  5. Click Next to continue to the Enter Check Details section of the wizard.
  6. In the Starting Check Number field, enter the number of the check that is printed on the check stock for the first check that you want to print. The application increments this number by one for each subsequent check that you selected.
  7. If needed, select a different date in the Check Date field, which is the check date that the application generates on the check and is set to the current date, by default. You cannot enter a date before the current date or after the pay period in which you added the check.
  8. Click Next to continue to the Print Preview section of the wizard. For all browsers other than Firefox, the application generates a preview of each check. You can scroll down the wizard to view the full preview.
  9. For Firefox only, the application does not display a preview. Instead, the application displays a link that you need to click to open a separate tab, where you can view the preview in Adobe Acrobat Reader. After you are done previewing the check, you can return to Dayforce to continue the printing process.
  10. Click Next to continue to the Print section of the wizard, where the application displays the check number for each check you want to print.
  11. Click Finish to proceed with printing.
  12. The application displays the Confirm Print dialog box. For all browsers other than Firefox, the application also automatically displays the Print dialog box of your browser, where you print the checks.
  13. For Firefox only, the application does not display the Print dialog box automatically. Instead, the Confirm Print dialog box displays a link that you need to click to open a separate browser tab, where you print the checks in Adobe Acrobat Reader.
  14. Do one of the following depending on your browser:
    • In all browsers other than Firefox, use the Print dialog box of your browser to print out the checks.
    • In Firefox only, click the Print In Adobe Acrobat Reader link of the Confirm Print dialog box, and print the checks outside Dayforce in the Adobe Acrobat Reader tab that loads. Then, return to Dayforce.
  15. In the Confirm Print dialog box, the Print Status column for the checks is set to Successful, by default.
  16. Do one of the following:
    • If you can print all of the checks successfully, click OK. After you click OK, you or other users can’t edit the records for the check or print it again in Payroll.
    • If there was a problem printing the check (for example, the check didn’t print clearly because the printer was low on toner or the check stock was damaged, due to a paper jam), select the Failed option in the Print Status drop-down list, and enter the reason for the failure in the Reason field. If you select this option, you or other users can print the check again by performing steps 1 to 6 of these instructions. Be sure to enter the number on the new check stock in the Enter Check Detail dialog box before printing. However, you or other users cannot edit the records for this check.
  17. If you indicated in the previous step that a check printed successfully, the application displays the Committed status in the Status column for the check. If you selected Failed, the application displays the Failed status in Status column for the check.

Note: If an error occurs that marks the status of the check as In Process, you must contact a Service role user to reset the status to None so that you can reprint it. See Override In Process Onsite Checks.

Override In Process Onsite Checks

Before You Begin: To use this feature, your role must be assigned the Allow Override In Process Checks sub-feature of the Payroll > Checks role feature.

If you have the necessary role feature access, the application displays the Override In Process Checks button in the toolstrip in the Checks sub-tab of Payroll > Data Entry. You can use this button to reset onsite checks that are stuck in the In Process status (a check can be stuck in the In Process status as a result of network or printer connection issues, for example). The application only displays the Override In Process Checks button when you select an onsite check from the list.

When you click Override in Process Checks, the application displays a dialog box where you can update checks that have the In Process status to one of the following status options:

  • Select None to reprint or delete the check if it didn’t print successfully.
  • Select Failed to reprint a check that failed on the first attempt.
  • Select In Process to leave the check's status as it is.
  • Select Committed to mark the check as printed and committed.

To reset the status of an onsite check:

  1. Go to Payroll > Data Entry, click the Checks sub-tab.
  2. Select an onsite check that has the status In Process in the Print Status column.
  3. Click Override In Process Checks to open the Override In Process Checks dialog box, where the application displays any checks that have the In Process status.
  4. Select an option in the Print Status column for each check to update each status.
  5. Click Save.
