Payments Status

Payments Status is a feature that provides you, as a payroll administrator for US legal entities, the ability to view the status of Dayforce Direct Deposit (DDD) and Official Dayforce Check (ODC) check payments that are generated after you have committed payroll.

Role feature access: Payroll > Post Commit Management > Payments Status

Instructions for adding role feature access are available in Add Payroll and Year End Feature Access to Roles.

The following are the main task associated with Payments Status: 

Access to this feature removes the need for you to contact Dayforce Payment Solutions when you have questions about the status of direct deposits and check payments.

For example, if you need to see the status of a check, whether it has been issued, still outstanding, or has been cashed, you can look in the Payments Status tab. You can also see the status of EFTs (Electronic Funds Transfers) to see whether they’ve been processed or rejected. This information can help you assess the timeline for stop requests, and help you answer questions from employees or payees about any check issues.

The Payments Status tab is located in the Post Commit Management tab in the Payroll feature. The Payments Status tab is used to review status of payments. To see the Payment Status tab, go to Payroll > Post Commit Management and, in the Country drop-down list, select United States of America.

Use Refresh to run the search again using the filters already selected.

Use the Favorites option to save, manage, or select your favorite searches.

Use the Filter button to show or hide the filter panel.

Use the Pay Date list button to select a date range for your search. You can select one of the following:

  • Last 10 Days
  • Last 30 Days
  • Last 180 Days
  • Between – to enter a date range

The following is a list of the columns shown in the Payments Status tab:

Pay Date Date of the payment.
Amount Amount of the payment
Status Status of the payment.

Cancellation Requested By The login ID of the person who created the cancellation request, and is shown when the cancellation request is submitted.
Cancellation Requested Time UTC The UTC date and time of the cancellation request.
Cancellation Reason The reason why the cancellation request was made. See Request Cancel Payment.
Cancellation Status Options are Processing, Successful, and Failed.

The filter panel is shown by default. You can add or remove filters to refine your searches by clicking Add Filter:

Use the Reset to Default button to reset all filters to their original state.

The following is a list of the filter options available for payments statuses for a specific date or date range:

  • Payee
    • Employee Number
    • Employee Name
  • Payment
    • Legal Entity
    • Notification Type
    • Pay Group
    • Pay Run
    • Payment Number
    • Payment Type
    • Tax Service ID

When you select a filter, a list box is shown with filter conditions, which you can use to refine the filter further. The condition options vary depending on which filter option you select. For example, when you select Employee Number, you can then select one of the following options to refine the search based on what is entered in the text box:

= The filtered value equals exactly what is entered in the text box.
<> The filtered value doesn’t equal what is entered in the text box.
is null Nothing is entered in the text box and the value is null or empty.
not null Any value other than null is searched.
contains The filtered value contains what is entered in the text box.
does not contain The filtered value doesn’t contain what is entered in the text box.
begins with The filtered value starts with what is entered in the text box.
ends with The filtered value ends with what is entered in the text box.

Another list of options is shown when other filters are selected. For example, when the Payment Type filter is selected, the following parameters are shown:

in The search results include the selected payment types selected in the text box.
not in The search results exclude the selected payment types selected in the text box.

For filters where in and not in are parameters, entering in the text box brings up a list of options from which you can select. You can make multiple selections as needed. The selected options show in the text box. Options can be removed by clicking the X.

If you want to remove a filter without resetting the display to the default layout, you can click the X to the right of the text box of a filter row to remove it. Other available actions are:

  • Click Apply Filter to run the search using the selected filters.
  • Click Clear Filter to clear the contents of the filter text boxes.
  • Click Remove Filters to remove all filters.

The search results are shown below. The payment status is shown in the Status column and the time and date of the latest update is shown in the Last Status Update column.

The following payment statuses are shown in Dayforce.

Available options for the Payment Status filter

Payment Status

Description

Canceled

The transaction has been stopped before going to the bank.

Error

The transaction hasn’t been successfully imported.

Escheated

The transaction has been the subject of an escheatment.

Issued

The transaction has completed successfully, and the check is waiting on the employee to present for payment.

Paid

The transaction has completed successfully.

Returned

The transaction went to the bank and was returned due to a problem.

Reversed

The transaction went to the bank and came back, usually at the request of the customer.

Processing

Payroll has been committed and payment is moving toward settlement.

The transaction might remain in this status for several days depending on the date of the payment. Check payments update approximately 1 day before the payment date. Direct deposit payments update approximately 2 days before the payment date.

Processing - Received by Back Office The transaction was received by the Back Office.
Processing - Sent by Dayforce The transaction was sent by Dayforce.

You can export the data shown in the grid into a .CSV file by clicking Export, which has the options Mask Banking Details and Unmasked. The exported grid results are saved to your local hard drive and can be opened with Microsoft Excel.
