Overview of Loaded Pay Runs

Depending on whether you are working with a native Payroll pay group or a ConnectedPay pay group, the available options in the Pay Run Management tab are different. For information about using ConnectedPay, see the ConnectedPay Administrator Guide.

If you are working with a native Payroll pay run, the available options in Process Job are explained in the following list about the toolstrip.

Before You Begin: For more information about the general process flow for working with pay runs, see Overview of Processing and Committing Payroll.

At the top of the Payroll > Pay Run Management screen for a loaded pay run, you will find the following screen elements:

  1. A top-level toolstrip
  2. An expandable panel with additional details about the pay run that includes the pay group name, the date range of the pay period, the pay date, and the pay group currency type
  3. A number of sub-tabs, each with their own lower-level toolstrip
  4. A tab at the top right corner of the screen that you can click to expand the employee slide-out panel

The top-level toolstrip contains the following buttons:

  • Load: Click to open the Load Pay Run dialog box to load a pay run.
  • Save: Click to save changes made in the pay run.
  • Refresh: Click to refresh the pay run; unsaved changes are lost.
  • Process Job: This drop-down list has the following options:
    • Calculate: Click to calculate payroll.
    • Close WFM: Click to close WFM. This ensures that no WFM data is added, edited, or deleted in the pay run.
    • Lock: Click to lock the pay run so that no other payroll administrator or other user with access to Payroll makes any changes to the pay run, including adding, editing, or deleting. Other changes include adjustments, checks, and quick entries. When you lock a pay run, you freeze it so that you can do a final review of the pay run, and you also ensure that only you can make any changes to adjustments, checks, and quick entries (in the Adjustments, Checks, and Quick Entries sub-tabs, respectively).
    • Unlock: Click to unlock the pay run to allow quick entries to be added, edited, or deleted for the loaded pay run.
    • Validate: Click to simulate committing the pay run and report any errors or problems that could prevent the pay run from processing.
    • Commit: Click to send the pay run to the Dayforce Back Office for transferring of funds and for printing and distributing checks, payroll reports, and direct deposit of funds to employees.
  • Calculate Partial: This button is only available when you load an uncommitted pay group and have Calculate Pay Run access authorization for your user role.
  • Click to open the Choose Employees dialog box to calculate the pay for an employee or a subset of employees in a pay group. You can filter by employee name, employee number, pay group, pay period, or employee status. Select an employee or employees in the Available Employees list, and click Add or All to add one, multiple, or all of the available employees to the Selected Employees list. Click Proceed to calculate the pay of an employee or employees.
  • Problems: Click to expand the Problems panel, which displays errors, warnings, and informational messages about the loaded pay run.
  • Package Tracking: Click to open the Package Tracking dialog box to view package-tracking information.
  • Statement Messages: Click to open the Statement Messages dialog box to view existing statement messages or create new statement messages associated with the pay run.
  • Off-Cycle Pay Run: Available only if the pay run has not been committed. Click to select one of the following off-cycle pay run options:
    • New: Click to create an off-cycle pay run.
    • Edit: Click to edit the off-cycle pay run that is currently loaded.
  • Correct Payroll Submission: (Ireland only) This button is displayed for committed pay runs only. Use this drop-down list to submit amended PSRs (Payroll Submission Returns), which are required if discrepancies exist in previously submitted returns, the file wasn't delivered correctly, or if the file was not accepted by Revenue. Click to select one of the following options:
    • Resend Payroll Submission: Click to resend the entire payroll submission return if the full file was not delivered correctly, or if the full file was not accepted by Revenue.
    • Correct Payroll Submissions: Click to send replacement PSRs for incorrectly reported PPSNs and dates of leaving.
  • Reports: Click to open the Reports dialog box with a list of fixed-format and non-fixed-format reports from which you can choose.

The following list describes the sub-tabs in the Pay Run Management tab used to process payroll:

  • Audit: Used to view the audit reports to help resolve issues before committing payroll.
  • Preview: Used to view details about the loaded pay run.
  • Time Data: Used to view time data associated with the employees in the pay run.
  • Compensation Data: Used to review bonus-pay details after you post a bonus-pay component in the Compensation Cycle Administration feature.
  • Analytics: Used to analyze trends between pay periods and to identify potential anomalies in a pay run in graphical form.
  • Checks: Used to view, add, edit, and delete checks.
  • Adjustments: Used to create and edit adjustments.
  • Quick Entry: Used to view, add, edit, and delete quick entries in the pay run.
  • ROE: Used to create and manage records of employment for Canadian employees (applicable for Canadian pay groups only).
