In the ROE sub-tab of the Pay Run Management tab, you can create individual ROE entries for Canadian employees in the pay run that is currently loaded. Click Add to create an entry.
Before You Begin: This section discusses Record of Employment (ROE) forms specific to Canadian employees only.
You can also create individual ROEs in the Data Entry version of the ROE sub-tab. The advantage of using the Data Entry tab instead of the Pay Run Management tab is that you can create and edit new ROEs for multiple pay runs without loading a single pay run.

After selecting an employee, the application displays the employee's current pay run in the Pay Run field, which contains the name of the pay group and the pay period. If needed, you can click the Pay Run field to select the next scheduled pay run, or an off-cycle pay run (if available) of the employee's pay group. Moreover, in order for an off-cycle pay run to be displayed, it must have the Record of Employment type defined as its Run Type. If the employee's current regular pay run is committed, and there is an off-cycle pay run that has the Record of Employment type that is associated with the committed pay run, Dayforce automatically populates the Pay Run field of new entries with the off-cycle pay run. If there is more than one off-cycle pay run for the committed pay run, the application automatically populates the one that was most recently created. This behavior is different from other sub-tabs of the Data Entry tab (for example, Quick Entry) where, if the current pay run is committed, the application automatically populates the Pay Run field of a payroll entry with the next regular pay run and not the off-cycle. |
| Legal Entity | Dayforce populates the Legal Entity field with the legal entity of the employee's primary work assignment. However, you can select a legal entity that is associated with a secondary work assignment, or a former work assignment within the past two years, if available. |

Automatically Generated Form
When you save the entry, the application automatically generates the ROE form and updates the ROE status from Requested to Pending without your having to refresh the screen.
The application automatically generates ROEs in the background. You can continue to work, or even log out, while the forms are generated. This functionality is especially useful when you save a large number of new entries at the same time.
After the application generates the form, you can enter its details. See Enter Details in ROEs.
Non-Editable Fields
When the application generates an ROE, the Employee Name, Employee No., and Legal Entity fields are no longer editable. If you need to move the ROE to another pay run (such as an off-cycle pay run), you can use Move in the toolstrip. See Move ROEs to Other Pay Runs.
Automatically Generate Form on Employee Termination
You can also configure Dayforce to automatically generate the ROE form in the pay run in which the date of termination falls in.
The Payroll Post Termination Job background job searches selected pay groups for employees with a terminated employment status and checks to see if ROE forms have been issued for these employees after their termination date. If no forms have been issued for them, an ROE entry is added to the pay run and generated automatically. When the form is generated, you can enter its details.
