After you have selected the employees in the Choose Employees step and clicked Next at the bottom of the Multiple ROE Request Wizard, the wizard displays the Specify Update Fields step:
At the top of the Specify Update Fields step of the wizard is the field Mass ROE Group. In this field, you define a name for the ROE group. Once you submit the wizard, the application displays this name in the Mass ROE Group column of the ROE sub-tab. You can also filter the ROE sub-tab by this column.
The Specify Update Fields step of the wizard also contains fields from a number of blocks of the ROE form. This allows you to mass define certain fields for the ROE forms that you are creating. If you define these fields now, you can still update them for individual ROE forms later, if needed.
The functionality of the fields in each block is described below. For more information on the blocks of the ROE form, see the ROE guide at the Service Canada website: www.canada.ca/en.
ROE Reason (Block 16)
In this required field, you need to select an ROE reason option.
Last Day for Which Paid (Block 11)
This field is optional and is clear by default.
Final Pay Period End Date (Block 12)
This field is optional and is clear by default.
Recall Employee (Block 14)
This field must have one of the following options selected:
- U – Unknown (This option is selected by default.)
- Y – Returning (When you select this option, the application enables the Expected Date of Recall field, and a date is required.)
- N – Not Returning
Note: The Expected Date of Recall field is only enabled when you select the Y – Returning option from the Recall Employee drop-down list.
A. Vacation Pay (Block 17)
In this optional field, you can select one of the following options:
- 1 – Included with each pay
- 2 – Paid because no longer working
- 3 – Paid for a vacation leave period
- 4 – Anniversary (paid on a specific date each year)
The application populates your selection in the Reason field of Block 17A of each ROE form. You need to manually fill out the Start Date, End Date, and Amount fields for each individual form, if it's required for the selected reason. See Dates, Reason & Special Payments Tab.
Contact (Block 16)
This block includes the following fields:
- First Name
- Last Name
- Phone Number
- Extension
These fields are automatically populated based on what is defined for the ROE Contact type in the Contacts tab of System Admin > Client Properties. However, you can edit these fields for this specific ROE group as needed.
Note: The contact (Block 16) and issuer (Block 22) can be the same person if needed.
Comments (Block 18)
The Comments field is optional and has a maximum character limit of 160.
Issuer (Block 22)
This block includes the following fields:
- First Name
- Last Name
These fields are automatically populated based on what is defined for the ROE Issuer type in the Contacts tab of System Admin > Client Properties. However, you can edit these fields for this specific ROE group as needed.
The phone number and extension of the ROE issuer are defined in Block 21, which is described below.
Note: The contact (Block 16) and issuer (Block 22) can be the same person if needed.
Issuer's Communication Preferred In (Block 20)
In the Issuer's Communication Preferred In setting, you can select either the English or French option. English is selected by default.
Phone Number (Block 21)
This field contains the phone number of the ROE issuer that you define in Block 22.
This field is automatically populated based on what is defined for the ROE Issuer type in the Contacts tab of System Admin > Client Properties. However, you can edit this field as needed.
Extension (Block 21)
This field contains the phone number extension of the ROE issuer that you define in Block 22.
This field is automatically populated based on what is defined for the ROE Issuer type in the Contacts tab of System Admin > Client Properties. However, you can edit it as needed.
