Lock ROEs

In the ROE sub-tab of Pay Run Management and Data Entry, you can lock ROE forms that are in the Pending status to prevent any data that you've entered on the form from changing. For example, when you lock a form, and a user adds a quick entry for an earning that is configured to map to Block 17 A, B, or C of the Dates, Reason & Special Payments tab of the form, the application does not add this amount to Block 17A, B, or C on the form. It is still added to Block 15 though, because this is an auto-populated block.

Note the following about locking ROE forms:

  • When you lock a form, the application still updates the read-only fields in the Employee & Employer Data and Insurable Earnings and Hours tabs of the form. For example, if you regenerate a locked form, address changes made in the employee record will be reflected in the form.
  • Locking a form does not impact Block 15 of the ROE form.
  • You and other users can still manually edit forms that are locked.
  • Locking a form is an optional feature that does not prevent committing the pay run.
  • When you lock a form, other users with access to the form in the ROE sub-tab can still unlock it.

There are two ways to lock ROE forms in the ROE sub-tab of Pay Run Management and Data Entry:

  • You can lock or unlock ROE forms directly from the list by selecting or clearing the Lock checkbox for the entry and clicking Save:
  • Displays the Lock checkbox in the ROE forms list.
  • You can open the ROE form in the slide-out panel and click Lock:
  • Displays the Lock button in the ROE form slide-out panel.
  • When you lock the ROE form from the slide-out panel, the application closes the slide-out panel, and the Lock column in the list of ROEs displays the Yes option for the entry. At this point the lock is complete and you don’t need to save.
