Employee & Employer Data Tab

The Employee & Employer Data tab on the Employee ROE page includes a number of mostly read-only blocks related to employee and employer details:

The blocks can contain one or more fields. Each block and its associated fields is described below:

Serial No. (Block 1)

Contains a read-only field. A value is only displayed once an ROE has been committed to Service Canada, which occurs when you commit the assigned pay run.

Amended Serial No. (Block 2)

Contains a read-only field that only displays a value for ROE amendments. This field is immediately populated when you create the amended ROE form.

Payroll Reference No. (Block 3)

Contains a read-only field that is immediately populated when you create the ROE form.

CRA Account No. (Block 5)

Contains a read-only field that is immediately populated when you create the ROE form.

Pay Period Type (Block 6)

Contains read-only field that displays the pay frequency of the pay group. This field is immediately populated when you create the ROE form.

Date Issued (Block 22)

Contains a read-only field that displays the pay date of the pay run to which the ROE is assigned. This field is immediately populated when you create the ROE form.

Employer (Block 4)

Contains read-only fields that are populated based on details of the legal entity to which the ROE is assigned. The details are retrieved from the Address tab of Org Setup > Org Payroll Setup > Legal Entity.

This block contains the following fields:

  • Name (the name of the legal entity)
  • Address
  • City
  • Province
  • Postal Code

These fields are immediately populated when you create the ROE form.

Postal Code (Block 7)

Contains a read-only field that displays the postal code of the legal entity to which the ROE is assigned. The postal code is retrieved from the Address tab of Org Setup > Org Payroll Setup > Legal Entity. This field is immediately populated when you create the ROE form.

Employee (Block 9)

Contains read-only fields that are populated based on details from the employee's HR record.

This block contains the following fields:

  • First Name
  • Last Name
  • Address
  • City
  • Province
  • Postal Code

These fields are immediately populated when you create the ROE form.

If the employee has a middle name, their middle initial is displayed in the First Name field. The maximum number of characters allowed in the First Name field is 20 characters. The maximum number of characters allowed in the Last Name field is 28 characters. Names that exceed these character lengths are truncated. The truncated names are shown in the Employee & Employer Data and ROE Form tabs in the Employee ROE slide-out panel.

If the employee's information from the HR record changes, you need to regenerate the ROE form for it to reflect these updates. See Regenerate ROEs.

National ID Number (Block 8)

Contains a read-only field that displays the National ID number that is recorded in the employee's HR record. This field is immediately populated when you create the ROE form.

Occupation (Block 13)

Contains a read-only field that is populated based on the Primary Job field of the employee's HR record. This field is immediately populated when you create the ROE form.

Recall Employee (Block 14)

Contains the Recall Employee drop-down list where you need to select one of the following options:

  • U – Unknown (This option is selected by default.)
  • Y – Returning (When you select this option, the application enables the Expected Date of Recall field, and a date is required.)
  • N – Not Returning

This block also contains the Expected Date of Recall field, which is only enabled when you select Y – Returning option from the Recall Employee drop-down list.

Contact (Block 16)

Contains the following fields for defining the ROE contact:

  • First name
  • Last Name
  • Phone Number
  • Extension

This is the individual who Service Canada can contact about the reason for issuing the ROE (for example, the employee's manager).

These fields are based on what is defined for the ROE Contact type in the Contacts tab of System Admin > Client Properties. However, you can edit these fields for the specific ROE form as needed.

Note: The contact (Block 16) and issuer (Block 22) can be the same person if needed.

Issuer (Block 22)

Contains the First Name and Last Name fields for defining the ROE issuer. This is the individual who can answer questions from Service Canada about the information entered on the ROE form, typically someone in the payroll department.

These fields are based on what is defined for the ROE Issuer type in the Contacts tab of System Admin > Client Properties. However, you can edit these fields for the specific ROE form as needed.

Note: The contact (Block 16) and issuer (Block 22) can be the same person if needed.

Phone Number (Block 21)

Contains the Phone Number and Extension fields for the ROE issuer of Block 22.

These fields are based on what is defined for the ROE Issuer type in the Contacts tab of System Admin > Client Properties. However, you can edit these fields for the specific ROE form as needed.

Issuer's Communication Preferred In (Block 20)

Contains the English or French option. English is selected by default.
