Earning Statement Messages

You can add global earning statement messages to the earning statements for a pay group's normal, off-cycle, or additional check types in Payroll in the Overview tab by clicking Statement Messages.

Global statement messages set messages to be used on normal, off-cycle, and additional checks for the pay groups, legal entities, and pay types for which you configure them. Messages are displayed in the Messages from your Employer field in the self service earning statements.

Global earning statement messages are different from employee-specific messages that you enter in the Message field for an individual check entry or an individual quick entry, in the Checks or Quick Entry tab respectively.

When displaying messages in the Messages from your Employer section of self service earning statements, Dayforce displays employee-specific messages first, then displays any global statement messages that are configured.

There are three kinds of character limitations for messages in the Messages from your Employer field in earning statements, depending on several factors:

  • There is a limitation of 256 characters for all combined messages types (global and employee-specific) on a single earning statement for ESS online earning statements.
  • There is a limitation of 240 characters (3 rows with a maximum of 80 characters each) for all combined messages on a single printed US earning statement.
  • There is a limitation of 140 characters (2 rows with a maximum of 70 characters each) for all combined messages on a single printed Canadian earning statement.

Clicking Statement Messages opens the Statement Messages dialog box:

The list of statement messages is ordered with the first entry in the list being displayed first, the second being displayed second, and so forth, and you can change the display order. The Statement Messages dialog box has the following buttons above the list of messages:

  • Save: Saves the statement message
  • New: Adds a new entry in the statement messages list
  • Copy: Copies a selected entry in the statement message list and adds it as a new entry
  • Delete: Deletes a selected entry in the statement message list
  • Move Up: Moves a selected entry to a higher position in the list
  • Move Down: Moves a selected entry to a lower position in the list
  • Refresh: Refreshes the list
  • Problems: Expands or collapses a list with any Errors, Warnings, or Information messages related to the statement messages in the list
  • Localize: Includes the localized version of the message in earning statements for employees using that language culture setting

The list of messages in the Statement Messages dialog box contains the following columns:

  • Message Text: Field for the text of the message
  • State Date: Required field for the start date for the message to be displayed on earning statements
  • End Date: Optional field for the end date for the message to be displayed on earning statements
  • Include in Off-Cycle Runs: Checkbox to select to include the message in off-cycle pay runs
  • Include in Additional Checks: Checkbox to select to include the message in additional checks

There are several drop-down lists that you can use to determine which messages are included in employee earning statements. If you do not select an option in a drop-down list, the default is that the message is included in all earning statements:

  • Legal Entities: To assign the selected earning-statement message to employees in one or more legal entities, select the legal entities in the drop-down list.
  • Pay Groups: To assign the selected earning-statement message to employees in one or more pay groups, select the pay groups in the drop-down list.
  • Pay Types: To assign the selected earning-statement message to employees in one or more pay types, select the pay types in the drop-down list.
  • States/Provinces: To assign the selected earning-statement message to employees in one or more states or provinces, select the states or provinces in the drop-down list.
