Configure ESS Earning Statement Email Notification

You can send an email message to notify employees in a pay group that a new earning statement is available in the employee self-service (ESS) feature. In the body of the message, you can also add tokens which are replaced with the correct payroll information when the email is sent. The email delivery schedule is based on the ESS Earning Statement Offset Override (Days) setting in System Admin > Client Properties.

Before You Begin: In the Properties tab in System Admin > Client Properties, select Yes in Enable Statement Email Notification. This option is displayed only when you log in using a system role. Employees also need a valid email address saved in their record in People.

To configure Dayforce to send an email notification:

  1. In Pay Setup > Pay Group, for one or more pay groups, in the Payroll Properties tab, select Enable Statement Email Notification. To ensure emails are sent only to email addresses that have been verified, select Send Email to Verified Address Only.
  2. Create an email message.
    1. In the Reports tab in Payroll Setup > Report Output, select Earning Statement in the list of reports.
    2. Enter a subject line for your email and a message in Body.
    3. (Optional) To add a token, place the cursor where you want the token to appear in the body of the message and select a token in the drop-down list. Click Insert.
  3. Click Save.
  4. Preview the email message by sending it to a test email address. This email address isn’t saved in Dayforce.

Localize Earning Statement Email Notification

If your organization supports multiple languages in their employee communication, you can add a version of the email in another language.

  1. After creating the original email message, click Localize.
  2. In the Localize dialog box, click Add.
  3. Click the field in the Language column and then select a language in the drop-down list.
  4. In the Subject column, enter a subject line for this localized email in the language you've selected in the Language column.
  5. Click the field in the Body column and enter the message in the language you've selected in the Language column.
  6. If you want to include tokens in your localized message, copy and paste the body of the original message, including the tokens, into the Body field in the Localize dialog box. You can then edit the content around the tokens as needed.
  7. Click Save.
