You can close pay periods before pay is transmitted if time is committed more frequently than payroll is transmitted. After pay is closed for a period, any subsequent changes result in retros, even though the period hasn’t yet been transmitted.
Before You Begin: This topic applies only if Dayforce is configured to support different pay close and pay transmission frequencies, and if your user role is granted the required access. For more information, contact your administrator.
In Dayforce, you can close pay on:
- A weekly basis when payroll is transmitted biweekly.
- A semi-monthly basis when payroll is transmitted monthly.
If Dayforce is configured to support different pay close and pay transmission frequencies, it shows the pay close periods below the payroll transmit periods in the Pay Groups list of Pay Admin Checklist. To show the pay close periods, expand the payroll transmit period in the Pay Groups list:
After you select a pay close period, Dayforce shows the Close Pay button, which you can click to close the selected period:
When you click Close Pay, if pay hasn’t already been approved for that period, Dayforce provides you an option to approve it.
When closing pay on a weekly basis, with payroll transmitted biweekly, Dayforce automatically locks, approves, and closes pay when you click OK. Dayforce marks the period with the pay closed icon () and treats it the same way as a transmitted period, meaning that any subsequent changes to that period are treated as retros. This means that, for example, only users with the Retro Pay Adjustments access authorization can edit timesheets for this period.
When closing pay on a semi-monthly basis, with payroll transmitted monthly, Dayforce locks and approves pay only when you click Close Pay, because this second period also marks the end of the pay transmission period. Because you need to transmit pay at this point, there’s no need to close the period.
If you try to close pay early, Dayforce rejects the closure and notifies you when pay can be closed. Similarly, Dayforce notifies you if you try to close pay periods that contain time entry problems or unauthorized records. You can’t close the period until you resolve these issues.
