You can set up an onboarding policy with preboarding essentials, which requires employees to complete some tasks and forms before their first day of work. The remaining tasks are presented to the employees as onboarding essentials and must be completed before the end of their onboarding period. These items appear in the To-Dos section at the top of My Onboarding in two separate columns:
The application tracks when the tasks and forms are completed. It indicates when preboarding essentials aren't completed by sending a preboarding completion alert to employees and/or their managers.
To add preboarding essentials to an onboarding policy:
- Go to Onboarding Setup > Onboarding Policy.
- Select the policy you want to work with from the sidebar. You can only choose from unpublished policies.
- Identify the preboarding forms you want to include. Go to the My Onboarding tab and select Onboarding Forms. Set up a separate section with these forms. Give it a descriptive name such as "Before your first day" and select its Include in preboarding essentials checkbox. This checkbox is also available for Docusign templates, income tax withholding forms, and I-9 forms if you want to include any of them as preboarding essentials.
- Identify the preboarding tasks you want to include. Go to the My Onboarding tab and select Employee Checklist. Set up a separate section with these tasks. Give it a descriptive name such as "Before your first day" and select its Include in preboarding essentials checkbox.
- Click Save.
If you've selected the Include in preboarding essentials checkbox in the steps above, new hires will see the Preboarding essentials section in My Onboarding, along with either forms or tasks or both depending on what you included in the steps above.
