Manage First Time Access Emails

Before You Begin: For information about setting up the system to use first time access emails, see Configure First Time Access Email.

Managers and administrators can view details about the status of first time access emails in Onboarding > First Time Access Email.

Role feature access: Onboarding > First Time Access Email

The First Time Access Email (FTAE) feature contains a list of new employees who are configured to receive the email, sorted by the most recent hire date. You can expand the row/record of each new employee to see information about when the email was last sent, single sign-on status, and how many more times Dayforce will attempt to send the email.

For example, the preceding screenshot shows that the email hasn't been sent to John yet, but there will be up to nine attempts to send it to him.

First Time Access Email feature properties
Property Description
Hire Date The hire date of the onboarding employee.
Email Status The delivery status of the first time access email to the onboarding employee.
Last Delivery Attempt The date the last time the system tried to send the first time access email to the onboarding employee.
Remaining Delivery Attempts

The number of delivery attempts remaining until the system stops trying to deliver the email to the onboarding employee. These attempts occur daily when the site-level background job runs.

The initial value of this number is determined by the First Time Access Email Maximum Delivery Attempts setting in the Messages section of System Admin > Client Properties > Properties.

Name The name of the onboarding employee.
Email Address The email address of the onboarding employee.
Single Sign-On Indicates whether the employee's user account is configured for single sign-on.
Phone Number The phone number of the onboarding employee.
Role The user role assigned to the onboarding employee.
Email Template The first time access email template assigned to the employee. You can edit this value up until the time that the email is sent successfully to the onboarding employee.
