If your organization uses DocuSign templates, you can assign them to individual employees in People or in Onboarding > Onboarding Employees. You can also reset them to be e-signed again.
About DocuSign Templates
These templates are maintained in the DocuSign system and provide several benefits. You can upload, maintain, and track them in DocuSign and use them across your organization outside of Dayforce. You can also assign multiple recipients to review and e-sign the forms. Co-signers can e-sign the templates in DocuSign with no need for a Dayforce account.
Important: These templates are provided solely through integration with the DocuSign template library, aren’t the property of Dayforce and haven’t been designed or reviewed by Dayforce. Use of the templates is optional, and customers assume all risk and responsibility related to their use. Templates shouldn’t be construed as legal, tax or other advice specific to any individual or organization. Customers are responsible for reviewing, testing, and approving all templates configured in Dayforce.
DocuSign will apply charges for each template that is assigned.
Assign Templates in People
Role feature access: Application Container > People > Employee Profile > E-Signature Templates
To send a template to an employee in People:
- Go to People, open the employee profile, and click E-Signature Templates.
- Open the E-signature Template list. If a template is configured for use in Dayforce, you can choose it from the list and click Select.
- The DocuSign sender view appears, where you can customize the template for the employee. For example, you might be asked to add recipients, add documents, provide additional information, and provide the subject and body of the email that will be sent to the recipient.
- Follow the prompts to complete all required fields and send the document.
- Note: If configured, you might be able to overwrite information that is displayed in custom fields. However, any information you change isn’t saved for future use. If the information is incorrect, you must ensure that the employee profile is updated as well. If you add custom fields to the template, the information isn’t auto-populated and you will need to add it manually. It's not recommended to add a custom field to a template more than once.
The employee receives an email where they can click a link to complete the form in DocuSign. They don't need to log in to Dayforce.
The E-Signature Template History section of the E-Signature Templates screen shows which templates were signed and reviewed, along with their DocuSign workflow status. You can click documents to view them if they are completed, declined or voided.
Add Additional Templates for Employees to E-Sign in Getting Started
Onboarding employees can sign templates in their Getting Started. Templates might be included in onboarding policies so that they are assigned to groups of new employees by default. You can also add additional templates for individuals to e-sign in Onboarding > Onboarding Employees.
Role feature access: Onboarding > Onboarding Employees > Onboarding Forms > E-Signature Templates
To assign templates to an onboarding employee:
- Go to Onboarding > Onboarding Employees.
- Click the name of the new employee whose forms you want to view.
- Click the Onboarding Forms tab in the employee slide-out panel.
- Click Add E-Signature Template Section to add another section for DocuSign templates.
- Add a title to label the new section.
- Click Add E-Signature Template.
- Choose the template in the Template list.
- Recipients are displayed based on the template's configuration in DocuSign. You can update the recipients as needed for the particular employee.
- Note: Recipients you select must have a valid business email. Your changes don’t update the recipients for the DocuSign template itself and won’t apply when the template is used again in Dayforce. You can only update template recipients permanently in DocuSign.
- In the Due Date Type drop-down list, select First Day if it isn’t already selected. This is the only value that is applicable for Onboarding.
- In the Due Date Offset field, enter a number that corresponds to when the task is due. For example, if the task is due three days after the employee's first day, enter 3.
- Add as many additional templates as needed.
- Add more e-signature template sections as needed.
- Click Save.
Reset Templates
Before You Begin: This feature is available for templates that are assigned to new employees to complete in Getting Started. It isn’t available for templates that are assigned to employees in People.
You can reset DocuSign templates to be e-signed again if they were voided or the employee rejected them.
Note: The templates are sent separately to DocuSign in a new envelope. Corresponding DocuSign charges will apply.
To reset DocuSign templates:
- Go to Onboarding > Onboarding Employees.
- Click the name of the new employee whose forms you want to view.
- Click the Onboarding Forms tab in the employee slide-out panel.
- In the E-Sign Documents section, look for forms with a Reset button in the Reset column. These forms are either not e-signed or were updated.
- Click Reset and Save.
