Incomplete Onboarding Activities

This background job sends notifications to let employees, managers, and administrators know when employee onboarding tasks aren’t completed on time. These tasks include employee checklist items, guided processes, the I-9 form, and the income tax withholding form.

These notifications save managers and administrators the time and effort of following up with employees to complete tasks.

Note: Onboarding notifications aren’t sent to employees until sometime after midnight UTC on the date the employees’ onboarding policy is active, when the background job to send notifications is run.

Setting Description
Administrator Alert

Select how to send the administrator notification, which includes information on both incomplete manager activities and incomplete employee activities:

  • Don't send: Administrators don’t receive any onboarding alerts. This setting is the initial default for every new job request.
  • All Employees: Administrators receive onboarding alerts for all employees.
  • Only the employees the administrator can access: Administrators receive onboarding alerts only for the employees who they have access to view, as configured in the Location Access tab in System Admin > User.
Manager Alert Select the checkbox to send the manager notification, which includes information on incomplete manager activities.
Onboarding Employee Alert Select the checkbox to send the employee notification, which includes information on incomplete employee activities.
Offset days

Determines how many days before or after an event that notifications are captured by the background job and sent. In the case of onboarding tasks, it's the number of days before or after the employee's first day. The first offset day is mandatory. Each offset day after that is optional. Enter a negative number for the background job to pick up notifications before the employee's first day, or a positive number for after the employee's first day.

For example, for notifications to be sent every day, beginning two days before the employee starts, you could enter -2 in the first field, -1 in the next, 0 in the next, and 1 in the next.

Important: It's strongly recommended that you use a daily or hourly schedule in the Schedule tab of the Incomplete Onboarding Activities background jobs scheduling wizard. If you use a weekly schedule instead, you need to include all possible offset days for when notifications might be sent. If there are many tasks with different due date offsets, this can get complicated. You need to include offset days for all of the due date offsets of the various tasks and determine notification frequency based on the days when the weekly jobs are scheduled to run. If notifications are supposed to be captured on a day when the background job isn’t scheduled to run, they won’t be captured and therefore won’t be sent.
