Section 2 of the I-9 form can be completed using the administrator credentials for HireRight, the current user's HireRight credentials, or the org unit's HireRight credentials.
The following properties (configured in System Admin > External Integrations) control how section 2 of the I-9 form is completed:
- HireRight Role for new HireRight account creation: Specify the HireRight role that will be assigned to newly created HireRight users.
- HireRight administrator email: Enter the administrator email associated with your HireRight third-party candidate screening service.
- Allow Use of HireRight Admin Credentials: Select this checkbox to allow Dayforce to use the address in the HireRight administrator email field to open section 2 of the I-9 form.
- Allow Org Unit email address for HireRight: Select this checkbox to allow Dayforce to use organizational unit email addresses to open section 2 of the I-9 form (and to be notified when employees complete section 1).
- Note: There must be a valid email address and a physical address for the work assignment sites of employees submitting the I-9 form. To verify this is the case, go to the Organization tab in Org Setup > Organization and find the work assignment sites. When you select these sites, the Level drop-down list of the General tab must show the value "Site." In addition, the selected sites must have a valid email address in the Contact tab and a valid physical address in the Address tab. If your system isn’t set up to have work assignment sites that are physical sites with email addresses associated with them, you can request a Value Added Services consultant from Dayforce to assist you with your HireRight I-9 integration.
- Allow HireRight account creation: Select this checkbox to allow Dayforce to create new HireRight accounts when users open section 2 of the I-9 form for completion. When selected, if the process gets to that stage, Dayforce attempts to create a HireRight account using the business email address of the current user.
- Note: If you don’t select this checkbox, you can't create HireRight accounts.
When managers click the link to open section 2 of the I-9 form, the process is as follows, according to how the client properties are configured:
For more information about each stage of this process, see the following descriptions which correspond to the numbers in the preceding diagram:
- Dayforce checks to see if the manager has a valid email address.
- If the manager has a valid email address, Dayforce checks to see if that email address corresponds to a valid HireRight account.
- If the manager's email address does correspond to a valid HireRight account, Dayforce logs in and populates section 2 of the I-9 form with that account's information and the process is complete.
- If the manager's email address doesn't correspond to a valid HireRight account, Dayforce checks to see if the Allow HireRight account creation client property is selected.
- If the Allow HireRight account creation client property is selected, Dayforce creates a HireRight account using the business email address of the current user.
- If the Allow HireRight account creation client property isn’t selected, Dayforce checks to see if the Allow Org Unit email address for HireRight client property is selected. Similarly, if the manager doesn't have a valid email address, Dayforce checks to see if the Allow Org Unit email address for HireRight client property is selected.
- If the Allow Org Unit email address for HireRight client property is selected, Dayforce checks to see if the org unit email address corresponds to a valid HireRight account.
- If the org unit email address corresponds to a valid HireRight account, Dayforce logs in and populates section 2 of the I-9 form with that account's information and the process is complete.
- If the org unit email address doesn't correspond to a valid HireRight account or if the Allow Org Unit email address for HireRight client property isn’t selected, Dayforce checks to see if the Allow Use of HireRight Admin Credentials client property is selected.
- If the Allow Use of HireRight Admin Credentials client property is selected, Dayforce logs in and populates section 2 of the I-9 form with that account's information and the process is complete.
- If the Allow Use of HireRight Admin Credentials client property isn't selected, Dayforce displays an error message and the process is complete.
