Employee data mapping rules define what assignments are automatically made during the HR Import, when employees are onboarded using the New Hire form, and when employee records are updated in the People feature. When configured, these changes assign specific values to qualifying employees, according to the mapping rules. Mapping rules are defined in HR Admin > Employee Data Mapping Rules.

Each rule has one or more qualifiers that define which employees are eligible for the rule. Employees can be qualified by a wide-range of attributes in their HR record, including job, pay class, and pay type.
To assign an onboarding policy using data mapping rules:
- Go to HR Admin > Employee Data Mapping Rules.
- In the left sidebar, click the add icon. The rule is added to the bottom of the list so that it won't impact the rule sequence that you've already configured. You can use the move up and move down icons to change the rule's order.
- Update the details in the General section as needed.
- In the Mapping Values section of the rule details, do the following:
- Click Add and select Onboarding Policy in the Mapping Object drop-down list.
- In the ShortName-XRefCode drop-down list, select the onboarding policy that you want to assign to employees who are eligible for the rule.
- Click the arrow next to the rule in the left sidebar and select Qualifiers.
- Add one or more qualifiers for the rule. For example, you could use qualifiers to assign different onboarding policies to full-time and part-time employees. You can add qualifiers as follows:
- Click Add.
- Select an option in the Mapping Object drop-down list.
- Enter a value in the ShortName-XRefCode column.
- Click Save.
