Before You Begin: Guided processes containing all applicable forms must be configured and published in Workflow Administration > Guided Process before they can be added to an onboarding policy. See Configure Guided Processes.
The Onboarding Forms section displays the forms assigned to the employee using a guided process.
To add the Onboarding Forms section to your onboarding policy:
- Go to Onboarding Setup > Onboarding Policy.
- In the sidebar, click the policy that you want to modify.
- Click the My Onboarding tab.
- Select Onboarding Forms (or click Add if the section isn't already added). The application automatically scrolls down to where you can configure the section. Click the edit icon (
) to configure it.
- To hide this section for internal employees, clear the Enable for Internal Hire checkbox. For example, if the forms only apply to employees who are new to the organization, you can clear this checkbox so that they aren't required for internal employees.
- Enter a message or instructional text to introduce the Onboarding Forms section. You can use the Select tokens drop-down list to insert tokens such as the onboarding employee's name or the manager's name to personalize each employee's message.
- (Optional) In the Video section, complete the following steps to add a video:
- Click Add Video.
- Enter or paste a video link from YouTube or Vimeo in the Video field. The application automatically populates the Title field, if available. If it doesn't add a title, you must add one yourself.
- Important: You can only upload public videos. You cannot upload private or unlisted videos.
- (Optional) Add a description to the video in the Description field.
- To add a new blank section that contains the forms from one or more guided process, click Add Section. Additional controls are shown:
- Add a relevant title to describe the new section.
- If the tasks in this section must be completed before the employees' first day, select Include in preboarding essentials. See Preboarding Essentials.
- Click Add Guided Process and select a guided process from the list. You can see a list of its forms as well as the due date and due date offset.
- Note: Dayforce displays the guided processes that are configured and published in Workflow Administration > Guided Process. You can only change them from there.
- To hide this guided process for internal employees, clear its Enable for Internal Hire checkbox.
- Add as many guided processes to the section as necessary, in the order that you want them completed. If you need to change their order, you can click the X to remove a guided process and add it again at the bottom.
- Add additional sections as necessary until all necessary guided processes are included.
- You can move sections up or down in relation to the other sections by clicking the up or down arrow icons. To remove a section, click the X.
- (Optional) If your organization uses I-9 employment eligibility verification, click Add I-9 Form and set an optional due date offset. See Add I-9 Forms to an Onboarding Policy.
- (Optional) Click Income Tax Withholding Forms and select the forms from each country you want to include. See Add Income Tax Withholding Forms to an Onboarding Policy.
- (Optional) To add templates from the DocuSign system, click Add E-Signature Templates. See Add DocuSign E-Signature Templates.
- By default, Dayforce adds the Attend your first day banner when you add the Onboarding Forms section to an onboarding policy. You can remove it by clicking the X:

- If the banner has been removed, you can click Add Attend Your First Day to add it again.
- Verify that all sections all ordered how employees need to complete their forms. You can move sections up or down in relation to the other content in the Onboarding Forms section by clicking the up or down arrow icons. To remove a section, click the X.
- Click OK.
- Click Save.
