Dayforce integrates with DocuSign to allow onboarding employees to electronically sign their HR policies, so that there is an electronic record of their signature. These policies can include supplemental documents (attachments) that candidates must view and accept as part of the e-signature process.
When the onboarding employees log in to Dayforce and go to Getting Started, they are guided to e-sign the HR policy and as part of that procedure they are required to view and accept each of the documents attached to that policy.
Note: Supplemental documents cannot be signed individually in DocuSign. Recipients are required to open and view each document. When they review all of the documents, then they are asked to e-sign the entire envelope in one signing session. To use supplemental documents, you require a DocuSign Business Pro account or the DocuSign Advanced Workflows module.
Before You Begin: Your organization must have an account with DocuSign, and that account must have the “Supplemental Documents” properties set up. Further, an e-signature external integration must be set up for OAuth 2.0 authentication. See Configure E-Signature Authentication. In addition, your user role must have access to the features listed in the steps below and be assigned access to the HR Policy document type under Documents > Admin > Document Types.
To add HR policies with attachments to onboarding policies for e-signature:
- Assign an onboarding policy to onboarding employees with a guided process that includes the appropriate HR policy with attachments. Ensure that the guided process record has the correct roles assigned to it in Workflow Administration > Role Privileges.
- Ensure that the Allow Supplemental Documents checkbox is selected for the e-signature external integration in System Admin > External Integrations.
- Ensure that the Is E-Signable checkbox is selected for the HR policy in the Form Configuration tab in Workflow Administration > E-Signature Configuration.
