Role Features for Administrators

Most of the features for administrators (that is, the people who will create the necessary courses, learning plans, and others) are located under the main Learning Setup feature in the Features tab of System Admin > Roles. Several of the features described in the table below aren’t visible in the feature tree, but are instead enabled automatically by selecting the following features:

  • Instructor
  • Learning Administrator
  • Super Administrator

Note: Users assigned either the Instructor or Learning Administrator features are defined as power users in Dayforce.

Important: It isn’t recommended to assign a user all three learning roles, because unexpected errors might occur.

Additionally, depending on your organization's configuration and division of responsibilities, administrators might also need access to functionality in the People, Org Setup, and HR Admin features.

Learning Setup contains several sub-features, which are listed in the following table. Sub-features listed with one asterisk (*) are automatically enabled for roles assigned the Instructor or Learning Administrator feature (under Learning Role > Power User Roles); sub-features with two asterisks (**) are automatically enabled for roles assigned the Super Administrator feature (under Learning Roles).

Sub-Feature Description
Additional Fields Allows administrators to configure additional fields that are displayed on enrollments, forms, and reports for training and compliance purposes.
**Advanced Settings Allows administrators to configure module-wide settings for things like the e-learning experience behavior, third-party integrations, and social sharing and ratings.
*Catalog Setup Allows administrators to create course catalogs and assign to users.
**Central Repository Allows administrators to manage course material versions and add training material to multiple courses at once.
**Certificate Templates Allows administrators to configure templates for certificates generated in Dayforce upon course completion.
Certifications Allows administrators to configure the certifications (for example, first aid) that need to be tracked in Dayforce.
**Channels Setup

Allows administrators to define channels for the social learning experience, assign users with visibility to channels, and to assign experts to channels.

Note: This feature is only available to customers that have purchased the Coach and Share add-on.

*Classrooms Setup Allows administrators to configure classroom locations and settings.
**Content Marketplace Allows administrators to enable integration with and access content from third-party content providers including OpenSesame, LinkedIn Learning, Lynda.com, and Skilla.
*Courses and Learning Plans Allows administrators to create and administer courses and to define learning plans.
Deep Links Allows administrators to generate links for courses, which can be shared with other users.
External Courses and Learning Plans Allows administrators to add courses and learning plans that are completed outside of Dayforce, such as a course offered at a local community college.
*Learning Dashboard

Allows administrators to view stats about learning activity, such as user activity, course completion status, most popular courses, and the number of courses without enrollments.

**Learning Enrollment Rules Allows administrators to create rules that Dayforce uses to automatically enroll users in courses and learning plans.
**Learning Localization

Allows implementation and support users to specify which languages the Learning Management module is available in and to provide custom translations for some fields.

Important: This sub-feature should only be assigned to Dayforce Support and Implementation Representatives.

Learning Roles > Power User Roles

Allows super administrators to assign one of the following power user roles to users:

  • Instructor: Assign this role to users who will be creating and managing e-learning, classroom sessions, and webinars for your organization. 
  • Learning Administrator: Assign this role to users who will be creating and configuring the necessary courses and learning plans for your organization. These users need to access more of Dayforce than Instructors.

Enabling either role feature provides the assigned users access to the following Learning Setup features:

  • Catalog Setup
  • Classrooms Setup
  • Courses and Learning Plans
  • Learning Dashboard
  • Test Setup

Enabling either role feature also automatically adds the assigned users to the list of power users in Learning Setup > Power User Management.

Learning Roles > Super Administrator

Allows administrators to assign the super admin role. Users with the super admin role have access to the following features:

  • Channels Setup (if Coach and Share has been purchased)

**Lectora Setup

Allows administrators to integrate Dayforce Learning with Lectora, an e-learning authoring tool used to create online training courses, assessments, and presentations.

**Observation Checklist Allows administrators to configure observation checklists that can be assigned to learners based on a schedule or as training material for individual courses.
**Pages Setup Allows administrators to configure menus and pages for use in the Learning features.
Pervasive Learning Allows administrators to configure courses that appear on areas of Dayforce outside of the Learning features.
**Power User Management

Allows super administrators to manage power user profiles and access levels.

Skills Allows administrators to add the skills and skill levels that can be assigned to external courses to signify an employee's abilities in a particular area.
**Test Setup

Allows super administrators to add test questions to a central test bank.

*Transcript Settings

Allows administrators to view a record of the courses that an employee has completed within a specific time period.

**Webinar Settings

Allows administrators to set up accounts for webinars.

HR Admin Sub-Feature

Groups Allows administrators to configure group membership for learning.

Application Container Sub-Features

Learning Global Search Allows administrators to enable the Learning tab in Global Search so that users can search for internal courses and learning plans across Dayforce.
People > Employee Profile > Learning > Certifications Allows administrators to assign certifications to employees. In cases where a certification is configured so that employees can only receive it if they complete an associated course or learning plan, administrators can view the information but cannot edit it.
People > Employee Profile > Learning > Courses Allows administrators to enroll employees into courses.
People > Employee Profile > Learning > Learning Plans Allows administrators to enroll employees into learning plans.
People > Employee Profile > Learning > Skills Allows administrators to assign skills to employees. In cases where a skill is configured so that employees can only receive it if they complete an associated course or learning plan, administrators can view the information but cannot edit it.
People > Employee Profile > Learning > Transcript Allows administrators to view a record of the courses that employees have completed.

Org Setup Sub-Feature
