Manage Existing Training Material in Central Repository

In Learning Setup > Central Repository, you can take several actions to manage your organization's list of training materials. The available actions are described in more detail in the table below.

Before You Begin: You can't edit the order of training materials in specific courses from the Central Repository feature. You must edit the order in Learning Setup > Courses and Learning Plans.

Actions for training material in the Central Repository
Action Description
See a Preview In the action menu, click Training Material Preview to open a dialog box with a preview of the training material as it will appear to learners. If you have multiple versions of the training material, you can select which version you want to preview using the Select Version drop-down list.

Edit

In the action menu, click Edit to open the training material in edit mode. If you're uploading a new version of the training material, you're asked to specify whether you want to overwrite the current version or keep the current version and create a new version. See Training Material Versioning.

Note: For training material from the Content Marketplace, you can edit only the title and description. The contents of the material can't be edited.

Move to Folder In the action menu, click Move to Folder, select a new folder, and then click Move.
Assign to Courses In the action menu, click Assign to Courses, select one or more courses, and then click Assign. After assigning the material, you can manage the advanced settings for it in the course's Training Material tab in Learning Setup > Courses and Learning Plans > Courses. See Courses.
Delete In the action menu, click Delete. A dialog box opens asking you to confirm that you want to delete the training material and remove it from the courses to which it's linked. If there are multiple versions of the training material, all versions are deleted. If you want to delete only specific versions of the training material, click the icon in the Versions column and then delete the versions from the Version History screen.
See the Version History In the Versions column, click the icon to open the Version History screen. From this screen, you can view and manage the different versions of the training material.
See the Linked Courses In the Courses column, click the icon to open the Training Material Usage dialog box. This dialog box shows the details for each of the linked courses, including the name and the version of the training material that was used.

Manage Multiple Training Materials at Once

If needed, you can move, assign, or delete multiple training materials at once by selecting the checkbox next to the items in the list, and then selecting an action in the Choose Action menu at the bottom of the screen.

When assigning training materials to courses, you can select a maximum of 10 training materials at a time.

Training Material Versioning

When you upload a new version of a training material in the central repository, you're asked to specify whether you want to overwrite the current version or keep the current version and create a new version.

If you're uploading a new version with a minor change (such as correcting a word, phrase, or title), it's recommended that you overwrite the existing version rather than adding a new version. For more significant changes (such as structural or content changes), uploading the material as a new version is recommended.

The tracking for completed training material is affected by the versioning option that you select.

When you upload a new version of the training material, learners who completed an older version won't automatically have to complete the new version. However, if they return to the training material, they'll see the new version and will have to complete it again.
