Update Topic and Subtopic Access for HR Team Members

Assign designated topics and subtopics to HR team members so they can have access. When HR team members assign cases, the Assignee drop-down field in HR Case Management > Cases contains only the names of HR team members who are assigned to the current topic of the case that employees added during case creation.

Note: It might take up to 30 seconds for changes made to topic and subtopic access in HR Case Admin to be visible to HR team members in HR Case Management.

To update topic and subtopic access for HR team members:

  1. Go to HR Case Admin and click the HR Team tab.
  2. Click Update assignees. The screen changes to edit mode. Archived topics and subtopics have an (Archived) tag.
  3. Add a checkmark beside the HR team members that you want to assign current or archived topics and subtopics to. You can search or use the filter options to find HR team members.
  4. Click Assign topic access. Dayforce opens the Assign topic access side panel showing a list of available topics and subtopics that you can search for. If subtopics exist, they’re indented under their topic. There are two tabs for Archived or Current topics and subtopics. Both tabs function the same way but work independently. If a subtopic matches your search results but its parent topic doesn’t, the topic’s checkbox can’t be selected. Checkboxes can contain different information:
    • Checkmark: Topics and subtopics that are assigned to the selected HR team members.
    • Clear: Topics and subtopics that aren’t assigned to the selected HR team members.
    • Dash: Topics and subtopics that are assigned to at least one but not all of the selected HR team members.
  5. When you finish making your selections, click Preview. Dayforce closes the panel, updates the Topic access column, and activates the Save button. If you try to navigate from the screen, Dayforce shows an error message stating that unsaved changes will be lost.
  6. Click Save. Dayforce shows a success message and clears the checkmarks for the selected HR team members. Topics and subtopics are assigned.

Note: If your save was unsuccessful, Dayforce shows a warning message and the topics that you selected remain in the Topic Access column. You can either try to save again, or click Cancel to reset the page, after which you can select your topics again.
