When you create a case for an employee in HR Case Management > Cases each case has the following fields:

The employee that the case is about. The drop-down list shows only employees that you have location access to see. It shows the employee’s location, name, and number (depending on the access authorizations assigned to your role), and is searchable by name and employee number. Dayforce shows a View Profile link to see the employee’s profile in People, if you have feature access. |
| Topic |
Topics and subtopics (if they exist) are listed together in the drop-down list, separated by a forward slash. If you search for a topic or subtopic Dayforce shows predictive results as you type. |
| Subject | Summary of your question. The maximum length is 100 characters. |
| Message | Details of your question. You can use formatted text and add external links if needed. The maximum length is 4,000 characters including any HTML characters. |
| Assigned to |
The HR team member who is assigned to the case. The drop-down list shows only assignees with location and topic access to the items that you select in the Topic and Submitted for fields. It also shows the HR team member’s name and wok assignment (depending on the access authorizations assigned to your role), and is searchable by name.These assignees are also available in case details. To appear on the drop-down list assignees must have HR Case Management enabled for any one of their active roles. If you don’t assign the case, you must select Unassigned. If you have location and topic access, Dayforce shows the Assign to Me button if you want to assign the case to yourself. |
| Attachments |
Attachments added to a case are only available to the employee who submitted the case, and HR team members who have permissions to see the case or have been assigned to the case. When you click image attachments in the case details, the browser opens them in a new tab where the image is also downloaded. Also, when you click the options menu on an attached file, you can either download or preview the file if the preview option is available. Attachments can only be viewed in HR Case Management and HR Cases, they aren’t visible in Document Explorer or any other part of Dayforce. An error message is shown if the following occurs:
Note: The HR Service Delivery document type shows in Documents > Admin > Document Types in Dayforce but it’s grayed out because it isn’t editable. However, the HR Service Delivery document type isn’t visible in Document Explorer by design. All documents attached to cases are only visible from cases, so they follow the permissions of the case. |
| Submit | After you enter the information in the required fields, you can submit your case. If you leave the screen before clicking Submit the case details aren’t saved. If the employee you selected has since been deleted from Dayforce before you submit the case, Dayforce shows an error message when you click Submit. You can no longer create the case, and the drop-down list no longer shows the employee. If your location access changes before you submit the case, Dayforce creates the case when you click Submit. However, the application shows a message indicating that you don’t have the required location access to view the case. |
