In the Work > Availability screen in People, you can view an employee's availability for the month, and their approved time away requests and paid holidays:

An employee’s availability settings define when they can work. You can specify on which days of the week and between what times on each day an employee is available. This information helps you schedule your employees.

The Availability screen shows two types of employee availability:

  • Default availability: This is the availability that Dayforce uses for a specified period unless you override it. Each employee can have a current default availability and a future default availability that takes effect in the selected future period.
  • Temporary availability: This is availability for a specific period. When an employee's availability is different from their default, you can change it for the affected periods. After the affected period ends, the employee's availability switches back to their default.

For both types of availability, you can do the following:

  • Set or change availability.
  • Use templates for common patterns.

Work with Availability

To work with availability, you click the calendar to open a slide-out panel where you can make your changes. Note that a new default availability takes effect only at the start of a period.

To edit an employee's default availability, click the date in the period when you want the new default availability to take effect. Then, select an option in the drop-down list:

In the slide-out panel, the employee's available time is represented by the green bar on each day's graph. You can use the switch and Copy Previous Day button at the right to work with availability.

By default, employee availability is set for only one stretch of time per day. However, if the employee can work different shifts, or is unavailable for a portion of the day, you can define two ranges.

If a week is using temporary availability, the available times are shown in italics on the calendar:

How you can change availability

Temporarily change availability

On the calendar, click the date in the period when you want the new default availability to take effect. Then, click Availability > Edit default availability.

Do a temporary edit Click any date in the period and then click Availability > Edit availability for this period. You can add a comment before you save.
Set duration

Select a number in the Duration (weeks) drop-down list.

Example: If you select 3, Dayforce shows the employee's availability across a three-week period.

Increase or decrease availability Click either end of the green bar and drag left or right.
Mark days as unavailable Click the switch next to Copy Previous Day.
Mark unavailable days as available Click the switch next to Copy Previous Day. To adjust the availability, drag either edge of the green bar.
Mark a day with all day availability Click either edge of the bar and drag it left and right until it stretches from 12:00 AM to 12:00 AM.
Set two available periods in one day For each stretch of availability click the bar where it begins and drag the bar until you reach the end time.
Copy from the previous day Click Copy Previous Day at the right of the row.
Copy from the previous period Click Copy from previous period in the drop-down list.
Copy default availability to a period with temporary availability Click Use default availability for selected period in the drop-down list. Dayforce uses the employee's default availability.
