- New Organization Designer user interface -
You can run the Position Occupancy report in Reporting and Analytics > Reporting > Reports. The report contains details about vacant and filled positions in your position hierarchy. When you run the report, you choose a date to include position data as of that date. You can also add filters to the report, for example to show positions in a selected business unit. By default, data is sorted in alphabetical order based on position name. You can generate the report in a PDF, CSV, or Excel file.
Role feature access: Reporting and Analytics > Reporting > Reports and Report Library > Human Resources > Position Management > Position Occupancy.
The report respects the Position Management - Positions - Administrator View and Position Management - Positions - Manager View access authorizations, so it returns all of the positions that you have access to in Organization Designer. It also respects your access levels to employee data in Dayforce, so it returns information only for employees that you otherwise have access to. If you have access to a position in Organization Designer but not to data about the employee who occupies it, the report returns information about the position, but it doesn’t return the employee details for the occupant.
For a full list of the fields included in the report, see Position Occupancy Report Fields.

- In the Position Occupancy dialog box, select the as-of date for the position data you want to include, and, optionally, select a business unit to filter the data.
- Select your preferred output and page format options. For more information about these options, see Run Ad Hoc Reports in the Ad Hoc Reporting Guide.
After the report is generated, it is delivered to your Message Center inbox.
Pooled Position Field Details
The following table explains how some fields work with pooled positions. The Pooled Position and Occupant Limit fields are only relevant for organizations that use pooled positions, so they’re not included in the template. You can add them if pooled positions are being used. Remaining Vacancies and Days Vacant are relevant to both pooled and regular positions, so they are included in the report template.
| Field | In Template? | Description |
|---|---|---|
| Pooled Position | No | Shows a value of True or False for each position. |
| Occupant Limit | No | Shows the total number of employees that can be assigned to the position. The field is blank for non-pooled positions. |
| Days Vacant | Yes | For pooled positions, the field shows the number of days since the position became completely vacant. If there are any occupants, the field is blank. For non-pooled positions, it shows the number of days since the position was occupied. |
| Remaining Vacancies | Yes | For pooled positions, the report returns one row for each occupant, and one single row for vacancies with the total number of unfilled spaces in the Remaining Vacancies field. For non-pooled positions, the field shows 1 for vacant positions and 0 for occupied ones. |
