HR records in XML or Excel (.xlsx) format can be imported into Dayforce from System Admin > HR Import. Implementation professionals, system administrators, HR professionals, or other users with appropriate access can upload files for import.
The HR Import analyzes the file for common problems and returns information on any errors that are found, including:
- Invalid XML format based on the XSD, such as missing required fields or incorrect ordering of data.
- Duplicate employee cross-reference codes.
- State and country mismatch in employee addresses.
- Missing tax location information, where the county must be specified for the employee tax locator.
- Missing cross-reference codes or required fields.
- Duplicate employee SSN, SIN, or National ID Number values.
The HR Import can be configured with data mapping rules in Dayforce, which define what assignments are automatically made during the import. See Employee Data Mapping Rules Setup.
To import HR records in XML or Excel (.xlsx) format:
- Go to System Admin > HR Import.
- Click Start new HR import.
- In the Import HR Records wizard, click Select File and browse for the import file on your computer. Select an import file using the browser's control and click Open.
- Click Next.
- Dayforce analyzes the file for common problems and returns information on any errors that are found.

- To download the error messages to a text file, click Download validation results. Select Let me fix the issues to download a marked source file.
- Click Next.
- If errors were found, click Download marked source file.
- Click Finish.
