Rule Triggering Overview

After rules are configured in HR Admin > Employee Data Mapping Rules, they must be triggered to run. Mapping rules are triggered to run in the following cases:

  • After an HR Import has completed.
  • After a self-service form is processed. For rules to be triggered, the form must have the Triggers HR Mapping checkbox selected in the Properties tab of Workflow Administration > Form Builder.
  • When you manually update any field in the following areas of People:
    • Personal > Contact Information
    • Personal > Confidential Information
    • The Employment Status tab in the Employment > Employment Settings screen
    • Leave Management
    • Work > Work Assignments
    • Work > Volunteer List
  • By the Execute HR Mapping for Employment Status on Employees’ Birthday background job.

For example, you set up a rule so that employees who work at Store A are assigned to the Toronto - Salaried pay group. A manager submits a Job Assignment Change form that updates the employee's location to Store A. When the form is processed, the rule runs and assigns the employee to the Toronto pay group.

Data Mapping and Forms

If you’re using a form to update a non-active employment status record, such as Pre-Start or Terminated, for data mapping, data mapping behaves differently than the legacy data mapping worked.

In legacy data mapping, as long as something on the form or in the employee's data qualified for the rule, it would map the employee's data after the form was processed.

However, in data mapping you must add the non-active status that you're targeting on the form to the data mapping qualifiers, otherwise the employee’s data won’t automatically qualify for mapping.
