Right to Work Checks for Australian Employees (CheckWorkRights)

If your organization has configured an integration with CheckWorkRights, you can review the right to work status and details of employees and request right to work checks in People.

Before You Begin: This functionality is designed to help customers manage compliance with right to work (RTW) legislation in Australia. Dayforce must be integrated with the right to work verification service provider, CheckWorkRights, to use this topic. See Configure Right to Work Verification (CheckWorkRights).

Role feature access: Application Container > People > Employee Profile > Personal > Right to Work Status Indicator > CheckWorkRights

A right to work check requires employees to complete an online survey and submit certain identifying documents to confirm that they’re eligible to work in Australia.

Note: Requests for right to work checks can also be sent to candidates in the Recruiting feature before they’re hired. In this case, the candidate's right to work check summary and associated identification are carried over to their employee profile in People upon hiring. Work Rights Indicator

When you open the profile of an employee in an Australian pay group, their profile header includes an indicator that shows their work rights, and you can hover over the associated link to view their specific right to work status. See Right to Work Statuses.

In this example, the employee has normal work rights and a status of Australian:

Dayforce shows one of the following indicators:

  • Normal ( ): The employee completed a right to work check and was found to have normal work rights.
  • Limited( ): The employee completed an right to work check and has limited work rights.
  • None ( ): The employee has no work rights or the employee hasn't been sent an right to work check yet.

Depending on the status, clicking the indicator link opens a dialog box containing more information about the employee's right to work:

Additionally, CheckWorkRights periodically checks the VEVO system for changes to visa holders' work rights and pushes updated statuses to Dayforce.

Requests for Right to Work Checks

If an employee wasn't sent a right to work check, or was marked as no longer employed in CheckWorkRights, the dialog box opened by clicking the indicator link includes a button that you can click to send the employee a new right to work check:

The employee is sent an email with a link to the right to work survey.

Right to Work Summary and Identification

When an employee submits a right to work check, their manager needs to log in to the CheckWorkRights website and acknowledge that they've reviewed the employee's right to work documents and found them to be acceptable.

Note: When a right to work check is sent to a candidate from Recruiting, users can acknowledge the supporting documents directly in the candidate's profile instead of in the CheckWorkRights website.

When supporting documents are acknowledged, Dayforce adds the following records to the Identification section of the Personal > Confidential Information screen in People:

  • A record with the identification type of Check Work Rights Summary. If the employee is a visa holder, the Effective End Date and Expiry Date fields are assigned a date matching the expiry date of their visa. You can click the link in the Supporting Documents column of the record to download a PDF of the right to work summary.
  • (For employees who are visa holders only.) A record for the employee's passport that was submitted as part of the right to work check. The country, passport number, and expiry date that the employee entered during the right to work check are assigned to the record.

Right to Work Expiry Notifications

You can configure Dayforce to send a notification to an employee and their manager leading up to the date in the Expiry Date field of right to work records in the Identification section of the Personal > Confidential Information screen in People. For example, notifications can be sent every week within 30 days of the record expiring.
