If you assign a value in an HR Import, a form, or one of the qualifying screens of the People feature, and a mapping rule has that same value assigned, Dayforce uses the value that you assigned and ignores the corresponding value assigned in the mapping rule, by default.
For example, you configure a rule that assigns the pay group and pay policy of employees with a certain job. In the New Hire form, an administrator selects a different pay policy. In this case, Dayforce assigns the pay policy that the administrator selects and ignores the pay policy assigned for the rule.
If you select the Overwrite Existing Data checkbox in the General section of the rule's details in HR Admin > Employee Data Mapping Rules, Dayforce overwrites what is assigned in the HR Import, form, or People feature and uses what is assigned by the rule.
This functionality can be used to prevent errors in user input. Continuing the above example, if the administrator selects an incorrect pay group in the New Hire form and the Overwrite Existing Data checkbox is selected for the rule, Dayforce assigns the pay group assigned in the rule and ignores the administrator's input in the form, so that the correct pay group is assigned.
Note: You must select the Overwrite Existing Data checkbox if you plan to use data mapping to trigger role feature assignments for employees.
Preset Values in Forms
In some cases, a form can assign values that aren't visible in fields of the form. In this case, Dayforce assigns the employee this value instead of the value specified in a mapping rule unless the rule has the Overwrite Existing Data checkbox selected.
This can occur when using the Rehire form to hire an employee who has a termination role. In this case, the Role drop-down list in the form is cleared by default, but if you don’t select a role, the employee continues to be assigned the termination role when they’re rehired. If a mapping rule is configured to assign an employee a specific role, but the Overwrite Existing Data checkbox isn’t selected, the employee continues to be assigned the termination role. As such, you should select the Overwrite Existing Data checkbox in the rule to ensure that rehired employees are assigned the appropriate role.
