Non-Primary Addresses for Payroll Mailing and Tax Statements

For US and Canadian employees, you can use an address other than their primary residence for mailing payroll and tax statements.

Employee addresses are configured in the Personal > Contact Information screen of People, in the Addresses section. In address records for US and Canadian employees, the Payroll Mailing and Display on Tax Statement checkboxes are shown. The checkboxes are cleared by default, and can only be selected for one active address at a time. If no checkboxes are selected in any of the employee’s addresses, the primary residence is used as the default.

The Payroll Mailing and Display on Tax Statement checkboxes are also shown when you create an address record with the Address form in the Forms feature in People, and the Forms tab in Profile.

Payroll Mailing

The address is used on the outside of the employee's sealed earning statements and tax statements that are printed by the back office. The Payroll Mailing checkbox doesn't affect the address in tax statements or earning statements themselves.

Display on Tax Statement

The address is used for tax statements and doesn't affect earnings statements. Specifically, the address is used:

  • In the tax statement itself, such as in box c of the W-2 and the address section of the T4, for both online and printed tax statements.
  • On the outside of sealed tax statements that are printed by the back office, unless the Payroll Mailing checkbox is selected for a different address.
  • For US employees, the Display on Tax Statement checkbox isn’t supported in ACA 1095C statements, which always use the employee’s primary residence, and can’t be changed. However, the mailing address used on the outside of sealed ACA 1095C statements is set with the Payroll Mailing checkbox.

Canadian and US Employees with International Addresses

You can select the Payroll Mailing and Display on Tax Statement checkboxes for most international addresses in a Canadian or US employee’s profile. For example, if an employee with Canadian tax statements has a US address, and you select the Display on Tax Statement checkbox for that address, it’s shown on their tax statements. However, international address formats that use more than three address lines in Dayforce, such as Spain, aren’t supported.

Postal mailing isn’t supported for international addresses. When a US or Canadian statement printed by the back office has an international address, Dayforce routes it to the default courier delivery package that is sent to the client site.
